Placeholder for RLF meeting 4/6 updates

-The RLFs have to be configured as libraries.

-Each location under the RLFs need to be set up as remote storage facilities.

-Each campus will have to set up a location as a reading room so that users can access Library Use Only items more than once without sending them to “in-transit”.

-Some workflow will have to be developed to indicate that these items are Library Use Only.

-UCI has documentation on running a reading room setup.

-UCB is planning on creating a “reading room” for each library on campus.

Walk-In User From Other UC:

UCSB circulating to a UCSF faculty member. Account came through correctly. The checkout went through.

It looks like the operator has to look up the patron then place the request.

Second half of the test is incomplete due to UCSB’s setup (could not see Request/Resource Sharing options in Alma).

Group discussed switching to have UCSF be borrower for next test.

6

Parking Lot

There are some concerns that there is no clear place to note physical condition of items in the AFN. It may be possible when scanning in items.

Another option may be using fulfillment notes.

For the time being best practices might be shared via e-mail, sent to the FG and ILL Ops. Testing documentation could be hosted on Google or Box and shared out with a public link.

Members can add to the parking lot issues that they feel need to be considered or tracked.

7

RLF Non-Circ items requestable for in-house use

Will need to test in Test Phase

There are some hacks used for library-use only items that can’t be checked out and back in because it will kick off a return process. This will have to be figured out for ExL.

Davis tried creating a “Reading Room” circulation room. This was difficult for circulation staff to manage. There is now a transit step between ILL and the circ desks that allows the item to be checked out again before initiating the return process.

This issue does not just apply for LUO items, but specifically to the RLFs.

Mark will reach out to Lynne Grigsby regarding this question, and based on this discussion, Joe F. and Elizabeth will start a discussion in Basecamp with Ex Libris if needed.

8

RLF Ghost Records Discussion

Records Retained for Items Deposited in RLFs

This decision will be worked out throughout the test phase.

9
