Objective: State the purpose of the group in 25 words or less (brief, energizing).
The Data Cleanup subgroup will take leadership with identifying data clean up tasks and objectives as required for a successful migration, then provide quality control support and guidance post-migration.
Roles: What are the duties needed to get the work done? Who will take notes? Who will keep meetings on track/time? Who is responsible for tracking actions?
Notetaker will rotate alphabetically by last name, we started with Marcia Barrett (Kevin Balster will be the last in the rotation); the notetaker will enter meeting notes, decisions and actions to be taken for each meeting
Co-chairs will track time and keep the meeting on schedule
Co-chairs will create agendas
Action items (Tasks) will be reviewed at the start of each meeting; if Action items continue to be unaddressed, Co-chairs will follow-up with responsible individuals, as needed
Communication outside of subgroup:
Co-chairs will communicate with Implementation Coordinators chairs, Caitlin Nelson and Bill Hackenberg, as well as the Chair of the Patron Data subgroup chair (Marti Kallal)
Communication with Resources Management group (Cathleen Lu)
Communication with Acquisitions and eResources group (Sarah Sheets)
Communication with Regional Facilities Planning Group (Marcia Barrett)
What are our expectations for working together? Create a list of statements that the team agrees to uphold. For example, ask yourself: How do we make this group a safe space for transparent discussion (knowing that it might become contentious, and avoid back-channeling)? What are our ground rules for meetings? How do we ensure everyone is engaged? How do we ensure everyone has a voice? How will we resolve disagreements?
The DC subgroup will follow the SILS Phase 4 Shared Governance Structure “Best Practices for Cohort Members” and “SILS Decision-Making” documentation to facilitate fair, open discussion and resolve contentious issues.
Additionally, we will utilize the communication tools in the following manners:
ILS Listserv will be used for group communications
Slack can be used for one-on-one or private communications but not preferred for group conversations
Google Shared Drive will be used as our primary working space (spreadsheet, drafting documentation, etc.)
Confluence Wiki will be used for agendas, meeting notes, tracking decisions, tracking actions/tasks, publishing final drafts of charter, reports, etc.
The Data Cleanup subgroup will follow the SILS Harmonization Principles in creating the updated/expanded list of data issues requiring harmonization deliverables.
