Objective: State the The purpose of the group in 25 words or less (brief, energizing). Roles: What are the duties needed to get the work done? Who will take notes? Who will keep meetings on track/time? Who is responsible for tracking actions?Internal Training Subgroup is to schedule and arrange for sufficiently comprehensive training to support library staff in the implementation of a consortial Alma and Primo VE system.

Roles: Catherine and Dominique, as co-chairs, will take turns facilitating the meetings and notetaking. Actions will be noted in the meeting notes and Tasks lists by Dominique and Catherine; those responsible for the actions should check off when completed

What are our expectations for working together? Create a list of statements that the team agrees to uphold. For example, ask yourself: How do we make this group a safe space for transparent discussion (knowing that it might become contentious, and avoid back-channeling)? What are our ground rules for meetings? How do we ensure everyone is engaged? How do we ensure everyone has a voice? How will we resolve disagreements?We will:

  • Recognize our role in the harmonization process. We will likely be documenting and training on workflows that come out of  harmonization, but aren’t in charge of the decision process. We should be sure to escalate issues related to harmonization to the appropriate group.

  • Recognize that libraries are starting from a variety of positions. Depending on the projects undertaken, we may need to create “subgroups” for project work based on which libraries have already migrated and which still need to make that migration.

  • Remember that we are working for the successful training of staff across all UC libraries, not just our own. We should leverage the knowledge from libraries who have already migrated to Alma/Primo to learn what was or was not successful in training staff during that process.

  • Acknowledge that we are not the first group to go through this migration and utilize the existing documentation and materials, unless there are significant changes or compelling reasons to adapt or create new content. 

  • Respect each other’s time, contributions, and viewpoints. If we disagree about a topic, we will use degrees of agreement to determine the path forward.

Additionally, meetings will be as short as possible and group members will complete their tasks on time or communicate if they are not able to follow through.
