  • Physical books

    • Exclude serials, microforms, maps, nonprint materials, and uncataloged items

    • Include music scores if searchable by title through the library catalog or discovery system.

    • Include government documents that are accessible through the library's catalogs regardless of whether they are separately classified and/or shelved.

  • Physical serials

    • This definition includes, in any physical format, periodicals, serial titles on microform, newspapers, and annuals (reports, yearbooks, etc.); the journals, memoirs, proceedings, transactions, etc. of societies; and numbered monographic series.

      • What about monographic series catalogued separately? These look like books in the catalog.

    • Report serial titles, not subscriptions.

      • What exactly is “not subscriptions”? Packages?

  • Physical media

    • Can’t include serials on microfilm, those go under serials.

  • Total Physical Circulation

    • Report the total number of times physical items are checked out from the general and reserve collections.

      • Can we use UCOP stats for this?

    • However, circulation of electronic reading devices (e.g., Kindles) can be included if the device is pre-loaded with e-books.

      • Is this something any of us are doing?

  • Digital/Electronic Books

    • Report e-book titles owned or leased by the library if individual titles are cataloged and/or searchable through the library catalog or discovery system.

      • Leave out DDA., but include subscribed collections such as Academic Complete.

      • Include digital music scores if searchable by title through the library catalog or discovery system.

        • UCSC has the Frog Peak Music collection as brief records, does anyone else have a similar practice? (and how can we tag these? Update the resource type?)

      • Include open access (OA) titles if the individual titles are searchable through the library's catalog or discovery system. Do not count e-book titles from HathiTrust, Center for Research Libraries, Internet Archive, and similar collections unless the library owns the digitized item and it is accessible under current copyright law.

        • Unlikely that there are item-level records showing that an item was sent for scanning

  • Digital/Electronic Media 

    • Leave out Kanopy DDA. (Affects UCSD UCSC, Simplest just to have Daisy leave out Kanopy completely) Action: We need to let Daisy know how she can exclude.

    • E-serials

      • Will it be possible to dedup IZ e-serials against NZ e-serials?

    • Databases

  • ARL

    • Survey seems to require very few collections statistics. Deadline is 4/30/24. Survey instructions are here. Bottom of page 4 covers whether special collections are reported separately.

    • Multiple copies of a serial are counted as one title. Different editions are counted as separate titles. Multiple formats of same title each are counted. Gifts are not excluded just because they are not paid for. Special collections that have been made available for use are counted. Resources that are locally digitized are counted. Action: Figure out how many of us report stats, and how they report. Action: How are locally held items that are digitized get counted.

    • EBA is not necessarily excluded, even as DDA are recommended for exclusion (titles for which your institution is not providing stewardship.)

    • HathiTrust titles are a single item turned on in the Central Discovery Index. If you separately catalog a HT title, you have “curated” and you can count it. Internet Archive is very difficult to catalog from.

  • IPEDS stats counted the same as ACRL. Instructions are here.

We decided not to exclude EBA (until told otherwise – we have invested in access).

Non-ACRL campuses can check: serials on microfilm. ACRL counts them as physical serials.
