Awareness of recurring meeting with Ex Libris: Mondays 1-2 (UC + Ex Libris project update meeting)

• Lena is doing a doodle poll to find the best 2-hour time slot this week. ICs will use their regular meeting on Thursday 6/18 2-3:30 for the first 2 hour meeting.

Vanguard phase kickoff

Understand the Vanguard phase timeline and process

• PM Marci Deignan (Deg-nan) presented a powerpoint on Alma/Primo VE kickoff

• Meet the team:

  • Marci and team are part of Ex Libris Professional Services Americas (one of several global teams), reporting to Melissa Hilbert.

  • Marci reports to Adriana Pilecky-Dekajlo, she was a cataloger and started at Ex Libris with Endeavor

  • Le Tran - located in ?

  • Svetlana - started on Aleph, located in Toronto.

  • Laurie is located in Boston, with Ex Libris 8 years - focus on migration. Used to work for an academic library and campus IT department.

  • Ping Gao - 15 years at Ex Libris; started on Aleph, then support. Last year moved back into implementation. Located in Chicago.

  • Marina Spivakov - Project sponsor - oversee the project; liaison between project team and other teams - PM team and dev, migration and any other teams needed. Point for escalation. based in Toronto.

• Audry Ho and Marci are working with Neil on what online training might look like instead of in-person training meetings.

• Weekly training videos; live training reviews and Q&As - starting next week

• Configuration form overview session to discussion details

• Discovery setup with Primo VE forthcoming

• 3rd party integrations - TBD extent of integration work to be done during vanguard phase (Sep/Oct)

• Authentication - Wei will assist with this.

• Testing - focusing on migrated data; report migration issues via Salesforce for tracking

• Question on basecamp about the go live readiness checklist - it can be used during implementation to see what’s coming up as you go. No harm in using it during vanguard although it’s intended for final go live/cutover.

• Thursdays 2 hour meeting with focus on Vanguard timeline and scope.

• Communication will continue on Basecamp

• Documentation, go to the Ex Libris Knowledge Center for project and product documentation.

• Questions from ICs:

  • After vanguard test load - one IZ and sandbox for each vanguard institution, 1 NZ.

  • When does Ex Libris review the 3rd party integration forms with vanguard institutions? September, after test load is delivered.

  • Authentication and integrations for NZ? Will take that question offline.
