ILSDC: CB “TJ and I are working on a second blog post with data cleanup guidance based around the latest harmonization decisions that have been made.  We also have a mechanism for campuses to track what cleanup they are doing, not tackling, etc. and have a mechanism in place for vanguard campuses to provide sample records to be used for reviewing in September.  We have started putting together testing guidance based on ExLibris recommendations for data review, the critical data cleanup that we have identified and the harmonization decisions that have been made.  We do not have a deadline for the recommended QA but it would be good to have that deadline worked out/determined so that we can plan appropriately (not sure if that deadline will be driven by all ICs or the IC steering group).  Obviously our vanguard folks are doing a lot of data cleanup at their campuses right now but TJ and I will be asking the non-vanguard campus reps to do some of the initial legwork on the QA guidelines now with a secondary review/update by the vanguard campuses once those extracts have been done.”

Timeline review

Review new expanded implementation timeline, make some best guesstimates about dates.

Weekly trainings and special topics: Invite specialists from your campus to the appropriate meetings.

  • Weekly training: Monday’s meeting will be Q&A for the first two modules. Next week will be Fulfillment.

Questions that need answers:

  1. Confirming Mon / Th not a problem for ExL meeting (Slack poll says okay)

  2. Confirm that Dec 23 is okay for FINAL DATA deadline / Dec 10th would then be DRAFT DATA deadline. (All campuses will participate in test load)

    1. ExL drop dead deadline = Dec 25

    2. Given holidays, do we want to make that deadline earlier? Or do we want all the time we can get?

    3. Moving it later requires a negotiation with Ex Libris since this date has been scheduled with the ExL migration team.

    4. If the vanguard turns out to be problematic, we can revisit the timeline with Marci.

  3. Confirm that we are working Jan 4-8

    1. Do you think people would do trainings / work then?

    2. OR should we skip it? → YES

  4. Working backwards from Feb 5, does anyone have a problem with the way trainings are laid out?

    1. Trainings will be the same as in Vanguard, but:

      1. There are a lot of holidays

      2. In order not to shorten vanguard we’re suggesting condensing the GTKA and first two modules (the easy ones).

      3. Along with Merced and UCD Law, some vanguard campuses may be doing the training in the Test Load session (e.g., UCSD is splitting the training – some doing it this round, some the next)

  5. Question: when is train-the-trainer training happening? Were originally planning for 3-day onsite training. Currently looking at April-May as time.

  6. Question: Greg asked if Fulfillment Cutover could be done on a weekday rather than a Sunday (Jul 25) to have more staff available? But that would mean more requests building up.

  7. Question: Will analytics be available with the test load (Feb)?

Continue Monday/Thursday meeting times

Tentatively, go with December 23 date for UC deadline for test load data. (ICs will consult with local teams)

Do not schedule anything week of Jan 4-8.

Ok to combine the first two modules of GTKA training. Go with the training schedule as proposed.
