Work Plan Check-in

Work Inventory for IT

  • UCSD having a hard time getting input. IC concurs that the strategy used is the best option, but are just having to push for answers.

  • UCSC doing ok getting input for new documentation needed - already on Alma/Primo

  • UCSF fulfillment was quick to respond, having more of a time delay with other teams.

  • Can we put out a call to the functional groups on what they suggest we train on? The questions would be broad for the functional groups. Sense that Functional groups might be too busy

  • UCLA has started receiving feedback. The timing of when the training will happen in relation to fiscal close is in question. Concern has been expressed around the ability to add to the item list after November 20th. Basic idea is that we can be as flexible as we can be, but the later something is added the harder it becomes for the IT team to create related materials in time for localization. We would almost certainly need an alternate strategy for adding topics.

  • Can we start creating a master list to look at?

3

Timeline Review

Have been feeling a bit behind on tasks.

Basic idea is to pull information from the timeline into agendas ongoing so that we are specifically focusing upcoming work.

The SC will be updating the work plan over the next few weeks.

4

Weekly Essentials Emails / associated information

Katie has created all emails and scheduled them to go out.

At this point, we need information from basecamp translated over to confluence. Placeholder pages have been created by Brian, we need volunteers to move training materials over from basecamp. Shouldn’t be too time consuming.

Catherine and Sylvia have volunteered to move over the training material into confluence.

Catherine and Sylvia will translate training items from basecamp to confluence.

@Catherine Busselen create confluence pages for essentials week 3 to end, notify Sylvia the pages are ready for review Nov 6, 2020
@Sylvia Page (Unlicensed) review confluence pages for essentials.

QA invites

Reminder to forward out the QA sessions locally. IT members can change when you send out locally

6

Reminder that whoever volunteers has the support of the SC

Goal is for volunteering to be an easy yes.

We’ll be doing a check in on a week by week basis to get a feel for who’s available for volunteering.

If you want to volunteer but don’t know how to do what you're volunteering for, the SC is happy to help you with / demonstrate the actual work.

7

Covid / Availability check-in

KR - Not Available

CB - available for 2-3 hours of work but not able to do quick responses between noon and 5pm most days

All - add your availability for the following week each week before our meeting

Post Go-Live: Knowledge Acceleration Program

  • What is it?

    • A live webinar program created specifically for libraries who have gone live with Alma in the last six months. This series of six live sessions will focus on a range of topics that libraries often look to optimize in their first year of production, including reviewing and adjusting configuration, Acquisitions workflows, maintaining resources, using Analytics and more

  • Who Should Attend?

    • All library staff are eligible and encouraged to register, attend and participate

  • What is the time commitment?

    • One day a week, for about 60 minutes including live Q&A, over the course of 6 weeks

  • When should we plan on attending?

    • Based on your project timeline, we expect having your staff participate in either a late Fall 2021 or early Spring 2022 Cycle. More details regarding timing, session descriptions and registration will be provided to you by your EXL Project Manager post Go Live (July 2021).

Marcie going to be introducing this topic to the cohort soon. Nothing immediately for us to do.

These Q&As will be open only to UCs, but will be attended by all UC campuses at once.
