Communication and Coordination for Campus Pilots Affecting SILS Infrastructure

Discussion Goals

  • Consider whether there should be clearer communication pathways when campuses pilot features that interact with shared SILS infrastructure (e.g., Alma, Primo VE, CDI).

  • Discuss what level of notification would be helpful for SILS LG and/or relevant OST/OT groups.

  • Explore whether lightweight guidance or a simple reporting mechanism for campus pilots could help improve visibility and coordination across the cohort.

Key Questions

  • What types of pilots should be communicated to SILS governance groups?

  • Who should be notified (LG, OST/OT groups, CDL)?

  • What level of detail would be helpful without creating unnecessary overhead?

 

 

A UC campus recently began a six-month pilot of Clarivate’s Nexus beta feature, which connects large language model interactions with the Alma Central Discovery Index (CDI) via a browser plugin. The project is evaluating RAG-style discovery workflows and testing whether LLM-generated citations correspond with resources available through CDI.
Information about the pilot was shared with the CoUL listserv, but it does not appear to have been communicated through SILS governance groups or operational teams. Because the pilot interacts with shared discovery infrastructure, this raises broader questions about how campus-level pilots that affect SILS systems are communicated across the cohort.
This connects to previous LG conversations (Feb 2024) regarding coordination and communication for vendor trials that affected multiple operational areas.

AASA-PT Recommendation & Proposal – Transition to Annual Statistics Shared Service Team

Review and discuss the AASA-PT recommendation to (1) discharge the Alma Annual Statistics Analytics Project Team (AASA-PT) and (2) advance a request to DOC to charge a new, standing UC Libraries Annual Statistics Shared Service Team to manage ongoing centralized annual statistics work.

Key considerations for SILS-LG

  • Completion of charge: Do we agree that AASA-PT has fulfilled its original purpose and can be formally discharged?

  • Governance shift: Does it make sense for this work to move out of SILS-LG and be charged by DOC, given its broader scope?

  • Shared service model: Do we support establishing a standing team with campus representatives and CDL support to sustain this work?

  • Campus impact: Are expectations for campus participation (representation, 4–8 hours/month during active period) reasonable and sustainable?

  • Continuity and timing: Does the proposed timeline (team formed by mid-May) seem feasible to support the next reporting cycle?

The Workstream Improvement Project Team has written a mid-project update and recommendations for your review and action. While the WIP won’t conclude until summer 2026 (when the official final report will be released), several key SILS teams have been formed which may require timely input from the WIPT (including in particular the Renewal Negotiations Project Team). So, we have summarized what we think are key strategic recommendations for you to consider and pass to the appropriate teams.

Because these recommendations include systemwide issues, projects, and spending we are also sending this update as an FYI to DOC and CoUL via liaison Danielle Watters Westbrook.
