Share highlights of groups' work and issues:

  • Josephine: local group has created an awesome matrix showing the RACI for decisions in SILS.

    • Question: How can we treat a very active Step B member?

      • Encourage them to move to Step A if possible (needs supervisor approval; inform DOC, PMs)? At least offer them the option to do the work and training as much as they can. (see notes on SILS Chairs meeting on Step B discussion 6/17)

    • Question: How can we track config changes as we do testing on discovery for each IZ. Ensuring local groups and FGs can do testing and don’t overwrite each other’s configurations.

    • Larger issue: Need a plan for testing: discuss how we report and record issues, how we coordinate testing and configuring across FGs, ELs and campus local groups.

    • Can you have multiple vanguard environments for testing?

      • What is the relationship between our sandbox and our Vanguard environment?

  • Alma certification: can we dive in now? Can I prioritize Primo vs Alma?

  • Weekly training: should PPC / FG join in on the weekly Ex Libris training? Should those people then get Basecamp access? If that’s not certification, what’s the difference between that set of training and certification.

 

@Caitlin Nelson to do some research on testing and setting up guidelines for sandbox testing.
@Lena Zentall (Unlicensed) to put on future meeting agenda with Ex Libris/Marci: What is the relationship between our sandbox and our Vanguard environment?

Caitlin discovered testing/assessment guidelines, sample checklists on CSU’s migration wiki and from SUNY.

PPC / FG testing plan: ask each group what they want to test, and who you want to share your results with once you test.

At least have one test plan for each decision / group

Testing is a through-line from the vision as well - focus on consortial

What does success look like? Not just technically, but in full practice: will this make our patrons or staff work easier?

  • Friday July 31 is the drop-dead deadline for all vanguard data and forms.

  • Ex Libris will deliver our new test environment ~Sep 4.

  • August is devoted to training on configuration.

  • Nov 6 is end of vanguard

Vanguard Training

Understand who will participate in vanguard training and testing

Objective is to assess/test the vanguard data load for vanguard campuses. Full training on Alma/Primo will take place later for non-vanguard campuses.

Who should attend Vanguard Alma training sessions scheduled in BaseCamp? Should all members of FG and EL groups be part of this? If so, it would be good to have a basecamp account (likely not logistically feasible to create basecamp accounts for more than the chairs at this point) From Caitlin: Regarding that weekly training from ExL: they described it as for anyone who would be doing testing in the Vanguard. So it is highly relevant to the local testing teams, but also for the FGs.

Are local campus groups tagging along with ICs on the training? What about non-vanguard campuses?

Who should attend ongoing special meetings scheduled in Basecamp? Should PPC be part of this?

Possible homework: PPC members to ask their groups who will do vanguard testing. Does everyone want to do vanguard testing and needs a user account? Will we divide and conquer? Half of each team is already on Alma - how can this benefit us? Liz is also imagining dedicating significant time in her FG meetings to working in Alma together.
