Alma and Primo VE updates

Brief post migration update from your campus

Call out slowness issues (Primo, Alma and analytics)

2 to 3 minutes per person

All

UCB - speaking as an end-user, Primo implementation has been fairly seamless; some questions from long-time users but students/younger faculty have not had a big response; staff training is happening in production, so working on figuring it out. From the backend, lots of complaints have come in. UCB joined the AFN today, which will likely solve many of the issues with individual records. Change is hard, training is still ongoing, many staff vacancies impacting services. Launched UC BEARS CoDiLe e-reserve system, which is going well.

UCD - already an Alma institution so not a big response, some additional testing happening but workflows have not changed. Got an exceptional deposit to NRLF, working on figuring out workflows between the IZs (want to send a file of records, but don’t know what NRLF needs so can’t make it yet). Seeing big problems trying to check what’s already at NRLF - checking holdings in Alma with a repository is very click-heavy so they’re adding a considerable amount of time to each book they need to check. Need a network-level solution, preferably a dashboard that allows the user to input an OCLC number (for example) and get a list of campuses/libraries/summary holdings.

UCLA - lots of drop-in sessions for users, people seem to be getting more comfortable; starting to drill into more difficult or very specific things that weren’t prioritized during vanguard/pre-implementation (how to withdraw, for example). Currently, UCLA’s workflow for processing materials for SRLF hasn’t changed but might in the future.

UCI - some confusion with checking out materials from the RLFs (RLFs are not listed in the dropdown to select which IZ to charge it out to). Lots of unanticipated/unseen problems with the AFN, working on config tweaks and cleanup.

CDL - haven’t heard any major updates from the project team, appears to be going well. Haven’t gotten access to the NZ, currently working to put together a case for getting an account, will work with Cathy to add RCPT as one of the advocates for this.

SRLF - lots of processing from exceptional deposits, much harder to do things in batch which is affecting processing speeds. This could have broader impacts on allocations if they aren’t able to find solutions. NRLF - no deposits yet, working on prepping space to get ready for deposits (September).

As people are working in Alma/Primo, think about how tasks would work in the different configuration options.

Survey segments timeline

Multiple phases?

  1. building Alma experience - which months?

  2. Question prep - which months?

  3. Sending it out - when?

  4. How long to be out?

  5. How long to analyze data?

CM to send out an email with this topic in about a week so we can discuss this via email and have a confirmation conversation at September meeting.

Do not want to wait a month until we see each other again.

6

Survey responses

Do we want/need more than anecdotal responses?
Any hard data? what would that even be?

how long does it take to prep one shipment of monographs?

7

Future topics (or if time allows)

How best to gather, track and analyze feedback from other stakeholder communities

How best to present the analyzed feedback to interested parties in the recommendation document
