Any objections to canceling June 19 meeting due to ELUNA/Juneteenth? Will also discuss meeting on July 3 on Slack.

Thanks and farewell to Marcia Barrett!

UCSC budget cuts impacting lecturers and librarians

UCSB: Technical Services Librarian hired!!!! Paige Walker will be joining us on July 1st.

UCB: Alma item material types consolidated down to 42

UCM: Incorrect dates in some records of CZ collection not subscribed to by UCM or CDL; https://ucmerced.primo.exlibrisgroup.com/permalink/01UCS_UCM/oirpmg/alma9917195466406531

  • Sherry asked Sarah Sheets: Can you please ask your SILS RM representative to take this to the SILS RM group to discuss how to handle cases like this -- who should report it to Ex Libris to fix issues with CZ bibs. If it were a bib that was cataloged locally by a specific campus and contributed to the NZ, I'd suggest directing you there to report the issue; however these are CZ bibs.

  • date in title is formatted YYYYMMDD but bib record is pulling year from MMDD so you’ll get a photograph taken in year 1207 (which is incorrect)

No meeting on June 19

UCM question: group decided there’s not a need for RM to make a decision/policy on errors in CZ records and any campus can report these issues to Ex Libris (even if they don’t have the CZ collection activated)

@Catherine Busselen will respond to let let Sherry and Sarah know about the decision

ETD MARC records for review

Update on status and share files for review; determine deadline for feedback

10 min.

@Catherine Busselen

Mahjabeen shared three files to be reviewed: https://drive.google.com/drive/folders/1-PmGF16lJ87l-MVDmh--z96pGebyqEqv?usp=sharing. Notes can be made in this document: https://docs.google.com/document/d/15oKXH3RSpofbjnRuxHd_6vIm16YsK6B7yGF_g8jPRfs/edit?usp=sharing

The team plans to meet with Marcus next week to discuss ETD workflow from CDL to OCLC to SILS. They are hoping to get FTP info for stage testing.

Everyone review by: July 3

9XX Final Campus Signoff

Review status and determine final deadline

20 min

All

https://docs.google.com/spreadsheets/d/1xOIprZDbGh8bPvorwHaPS0buxdG-O7IlNgEAbdroz2g/edit?usp=sharing

Verified that there are no 972 fields in the NZ; added column (M) to sign-off to indicate which fields will not need batch updating (all empty); making notes when everything has been signed off where there may be a second look needed; adding number of records currently in the file in NZ for all sets

Reran 955 report: https://docs.google.com/spreadsheets/d/1edN3dWfJmxFoblbH0c4Vcs3gdqtHiPmM/edit?usp=sharing&ouid=115874236197074422584&rtpof=true&sd=true

Are there other reports that anyone would like rerun?

  • 999 for print records (Catherine)

Similar to 590, restrict ability to edit specific 9xx fields (empty in Column M) and/or use norm rule to remove during record imports (Catherine will test in sandbox)

  • Fields Restriction Policy

    • cannot add 9xx field, but can delete it

Can we set a date for beginning to do batch deletes?

  • late summer 2025?

@Catherine Busselen will create report of 999 print records
@Catherine Busselen will work with Gem to configure already empty 9XX fields similar to 590 in the Sandbox; restrict so that they cannot be added but they can be deleted
@Catherine Busselen will update Restricting Editing of NZ Fields decision page to indicate decision to restrict editing but allow deletion of 950-999

NZ inactive bibliographic records

Placeholder for reminder; no discussion today

5 min.

All

Decision page (very drafty)

202503 inactive NZ bib (online)

  • based on NZ indication rule “allUC Form of item equals Online”

202503 inactive NZ bib not online

  • based on NZ indication rule “allUC Form of item not equals Online”

A possible starting point for unused NZ bib analysis (UCB)

UCLA: some are suppressed bibs, may copy to catalog to unlink from NZ and keep local copy in IZ

UCB: some may be records that migrated from previous ILS

Options:

  • Exclude bib records created after a specific date

Harmonization of OCLC symbol usage for RLF titles

Update on added meeting

Decision page (very drafty)

Feedback from UCB

OT needs decision page by:

Working on setting up a meeting for next week with Catherine; RLFs; and UCI, UCB, UCLA RM and ILL folks

  • What are the needs and use cases for resource sharing and RLF workflows?

Separate issue is if a library deletes the Alma record do you also delete OCLC holdings?

Best practice: when you send an item to RLF which OCLC symbol should you use?

Review updated Authority Control in the NZ

Review best practices for import profiles (with Acquisitions and E-Resources Operations Subteams?) (see RMFG (Go-live and beyond) Best practices for repository* import profiles)

Tweak WDU config (contingent upon SCP’s cleanup progress)

Review “HOW TO: Rectify NZ bib with incorrect OCN due to erroneous change” draft

Harmonize practices for maintaining OCLC holdings for SLF-deposited items.

Interest in harmonizing general cataloging policy procedures?

For 2025-2026: Review Bibliographic Record Management in the SILS Network Zone and update if anything has changed or is missing; update post go-live message

Put together a plan for managing 9XX fields post our clean up effort (brainstorming doc)
