Assumptions

There are several points in the WEST two year data cycle where members are asked to send specific bib and holdings data from their ILS’s for both WEST and UCL Shared Print. Alma poses several issues with this generally since it is difficult to extract holdings data without extracting bib records. Our colleagues may not have the expertise, and/or time, to successfully submit the data WEST requires, due to the complexity in extracting holdings data from Alma.

Options Considered

SPST and the Project Team for UC WEST Alma Metadata initially considered addressing the complex, and sometimes time intensive, holdings data extraction process in Alma through the creation of comprehensive instructions which accurately address the obstacles campuses face when extracting this data. However, while discussing campus barriers and capabilities with Alma, the Project Team ultimately found that it would be more efficient to shift focus towards creating an Alma Analytics report which the WEST Analyst would run on behalf of campuses.

Goals

·       Understand more about campus barriers and capabilities with Alma

·       Reduce the extract/submission burden for UC Campuses

·       Review Alma instructions with a SILS expert group

·       Vet and develop WEST/UC instructions for extracting records from Alma 

·       Understand existing troubleshooting networks and gaps we might facilitate filling in 

·       Investigate a plan to extract records on behalf of the campuses
