1

Updates (please add in advance)

10 mins

All

Liz:

Meeting with CDL folks went well, we’re going to start working through each use case to figure out options. OCLC updates will be the first big one.

All campuses except for UCM got their Test Load IZ environments last Thursday.

OCLC updates = WorldCat updates.

The NZ  authorization might be given function by function. Liz and Sarah will work with CDL to go over/analyze different scenarios and come up with sustainable solutions for all campuses and CDL.

UCLA: still determining if they want to go through the Vanguard testing worksheet again for Test Load.

Most campuses have decided to use the similar approach.

Some campuses found using different colors for test load environment very helpful.

Testing documentation

Prioritize workflows and decide on how to handle work

30 mins

How/where to record issues/questions?

Each item on the list will have its own Google Doc since each can potentially turn into a separate decision page. Liz will take a first stab at it and the rest of the team will add their notes later.

For UC standard print, there is a devoted group. See their charge here.

Liz will share our ranking with PPC.

3

Training documentation round up

Review added documentation

10 mins

Review the inventory document here

The group will focus on filling the D and E columns.

Liz clarifies that the purpose of this document is to find out if there are good ways to do certain task, if relevant documentations are already existent, or additional documentations/policies are needed.

OCLC daily updates

Role/process sheet: https://docs.google.com/document/d/1bTBkc1W_Y-u3EIRSL2n2_H3UKkAnBPgpIO473EPogjY/edit

Feedback from campuses (if any):

UCLA:

  • Main concern is about records for materials held in certain locations (special collections; Film and Television Archive)--I’m guessing there’s not a way to exclude those besides keeping them out of the NZ?

  • Concern about reports for strange situations (ceased serial titles, title changes, etc.) that would require cataloger follow-up and the scale of those.

  • Concern about overlay of locally-corrected data (e.g., 490-830, multipart 505s).

For protecting locally corrected data, there might be several ways to resolve this concern: exploring using encoding levels, comparing dates coded in 005, and tweaking merge rules. We might experiment by creating an import profile and a merge rule for this task to test in the test load environment.

UCB:

  • Overall, interested.

  • Want to know what choice is available for the system as a whole.

  • Have concerns for PN records with 856s.

  • Maybe postpone the OCLC updates after the implementation is settled.

  • Who will be responsible for doing the task?

In terms of granularity, it is possible to go very detailed for the whole consortium.

Liz has broken down the OCLC daily updates task into different pieces and identified roles and additional details.

We will resume the study hall from February 24. It will be the same time, 10-11am on Wednesday.
