Welcome and announcements

Opportunity for co-chairs and members to share brief announcements and notices.

00:05

Ginny, Aislinn

  • Ginny and Aislinn have been invited to present to SILS-WG: on Oct. 02 they’ll speak to the SGTF assessment survey and receive feedback on that; and on Oct. 16, they’ll speak to early planning/modelling for ongoing shared governance.

  • The subgroup to consider shared governance structures has met and the work is going well!

2

SGTF assessment survey

SGTF members should review the draft survey (available in Survey Gizmo; and as a PDF, though the PDF doesn’t indicate the underlying logic) in advance of the call to discuss further edits or additions.

00:35

Alan, Kevin, Sarah H.

  • Edit: The introduction currently states: “Full responses to this poll will be shared with the SILS Shared Governance Task Force only.“ This will be deleted, so that it will only state: “Where demographic data might lead to identifying an individual, these data will be anonymized.”

  • Add to introduction: “If you are on multiple SILS groups, please reflect across those experiences and respond based on the experience that you feel is most appropriate.”

  • Add to introduction: “If an individual question doesn’t capture your complete experience, please note that there is an open-ended comment box at the of survey.”

Action: Danielle will make the edits discussed today. Danielle will test once more, then draft a cover letter for members to send to testers.

Action: Aislinn (an FG chair), Kevin (their IC), Sarah T. (a few folks not heavily involved), Cathy (someone not involved; chair of local SILS implementation) will contact potential testers, using the cover memo and link provided by Danielle.

Action: For when distributing to WG, Aislinn and Danielle will include a brief memo (to outline SGTF’s process behind creating the poll, that testing is underway, and the including the timeline for distributing and summarizing feedback).

Ongoing principles for the SILS

For designing SILS shared governance, the SGTF developed a set of guiding principles. On this call, SGTF will briefly discuss how principles for ongoing governance might intersect with (or be one-in-the-same as) the overall SILS principles for ongoing operations. Potential next steps to consider may include engaging SILS-WG to see how ongoing principles should be established, and/or to begin to design draft principles.

00:10

Aislinn

  •  When we’re in an ongoing environment, how do our principles change?

  • Redundancy between our governance design principles and over-arching project principles. Should this be a single set of principles?

  • What right now is unique to the governance principles? How might those be reflected in the overall SILS principles?

  • Agreement/interest in moving forward with one set of principles for ongoing governance.

Action: Aislinn will confirm with the WG, re: should we plan on having a single set of SILS principles (overarching). SGTF has principles for designing gov. Right now, the SGTF is wondering if there should be a single, service-wide set of ongoing SILS principles. The SGTF principles for designing might be a source for those ongoing principles.
