Objective

State the purpose of the group in 25 words or less (brief, energizing). Collaborate to enhance fulfillment services for our users while maximizing operational efficiency for staff.


Roles

What are the duties needed to get the work done? Who will take notes? Who will keep meetings on track/time? Who is responsible for tracking actions?


What are our expectations for working together? Create a list of statements that the team agrees to uphold. For example, ask yourself: How do we make this group a safe space for transparent discussion (knowing that it might become contentious, and avoid back-channeling)? What are our ground rules for meetings? How do we ensure everyone is engaged? How do we ensure everyone has a voice? How will we resolve disagreements?

Share your experience, challenges, ideas, and questions to stimulate collective efforts to achieve our objectives.

Recognize that current events and our evolving work environments present numerous, new, and unexpected challenges to our work. We will work with each other with empathy, kindness, and support as we collectively adapt.

Aim for mutual understanding by encouraging all voices and opinions to be heard, contributing all relevant information and concerns during meetings, defining terms, using specific examples, and challenging assumptions.

Will be intentional about wearing local campus “hat” vs “system-wide” hat to help provide clarity.

Encourage requesting help and learning from each other.

Work flexibly to achieve common team goals by leveraging each other’s strengths, considering change, adapting processes, taking calculated risks, redefining goals as necessary.

Share responsibility for achieving results and strive for consistent procedures and technology practices.

Begin and end meetings on time.

Attend meetings prepared, ready to contribute our energy and expertise.

Advocate for what is is best for all campuses, stakeholders, and affirm group commitments and next steps.

Collectively support group decisions once decisions are made.

Document all communal and operational work on Confluence, being mindful of what to share broadly vs details to be kept in confidence (Ex. Comment attributions from discussions)

Have meeting agendas ready prior to the meeting.

Allow 10 seconds for people to comment, ask a follow up question.
