Carlo

  • Welcome to Zach Silveira (UCSF) and Gem Stone-Logan (CDL) who will be co-ICs for their institutions. Susan Boone will be moving from a Step B to a Step A on AcqERM FG.

ILS Data cleanup / Patron Data groups / PPC

Patron Data (Carlo): Bulk of work was completed pre-vanguard.

ILS Data Cleanup (Tom): Co-chairs will join ICs once a month on 3rd Thursdays. TJ Kao will join!

PPC:

SILS Chairs/Coordinators meeting update & actions

Chairs

Patron data: No longer meeting regularly since work is done.

ILSDC: TJ Kao will join us on 2/18. They haven’t met since December so no breaking news to share.

PPC: PPC has put a decision page regarding configuration options for test load. Many decisions are the same as the ones for Vanguard. The new or revised ones are in pinkish color.

SILS Chairs/Coordinators meeting: Coordinators (IC and PPC co-chairs + PMs) met on 1/19. Discussed how to ensure ICs are aware of decision pages, and looking ahead to coordinate work.

WorldCat Scope (queries WorldCat): API key from OCLC needed to enable this scope. Campuses should request the API key directly from OCLC. If you are having any problems, contact Alison Ray.

Confluence Implementation Timeline

Timeline Feedback Plan for the process of approving the timeline with ICs

Requesting a Zoom call with an Ex Libris consultant is fine when you need F2F to resolve a complex discussion. Reach out directly to that consultant on BC.

Stay up to date on timeline / deadlines: Basecamp To-Dos and share FYIs

  • New How to request a special meeting process. This document is linked to from the Ex Libris Meetings Confluence page.

    • Authentication as a topic for a UC-led meeting?

  • How do we coordinate requests to other consortia so we’re not spamming anyone?

    • Alma-L

    • ecaug.slack.com California ExLibris Regional Users Group slack channel

    • ACAG (Alma consortia advisory group) is the group to contact to set a meeting.

    • ICs would be the right group to set up a meeting with another consortium. Bring possible topics to IC meetings.

    • CSU is closest to us.

  • (shared via slack on 1/5) A Fulfillment Network meeting for existing Alma campuses is scheduled for Jan 22 12-1.

    • Since Alma campuses are not having configuration meetings, but there are some FFN adjustments that need to be made, EXL wants to meet with them as a group to discuss this in more detail

    • This was discussed in the FFN group meeting on Dec 18.

    • Invited: ICs, Fulfillment FG, Sys Admins, etc.

  • Data Privacy Task Force charge is in the works (SILS working group will review on Jan 22). See gender issue in parking lot - would this be a topic for this TF? Yes, share.

Upcoming dates:

  • Existing Alma campuses fulfillment config meeting 1/22

  • Draft configuration form due 1/22

  • Final configuration form due 2/5

  • Fulfillment network group form due 2/5 (shared via slack on 1/5)

Topics raised by Lynne. She asked where do these get discussed?

  • Do a post-mortem for test load? Capture the gotchas so we remember them.

  • What’s the best place to talk about RLF recording info? (UCLA/UCB)

  • Digital collections - what's expected to show up in Primo? where does this get discussed? in Digital Collections FG.

  • Known issues page for Alma? Start a confluence page with a link to ExL known issues page.

  • 3rd party integrations form

  • journal A-Z list? what happens to these? UCI is using LibGuides rather than Primo A-Z. It’s a journal search rather than an A-Z list with links. Discovery? ICs to add to their local campus testing checklist.

  • API - what’s the maximum daily limit of API calls? Jeremy suspects the only way you would reach the max. is if you were generating your own Primo UI and using API calls to do it. https://developers.exlibrisgroup.com/alma/apis/#:~:text=The Daily API Request Threshold,in a 24 hour period.

Start a confluence page with a link to ExL known issues page.

ICs to add Journal A-Z lists to their local campus testing checklist.

Q&A (recurring)

Q&A during the IC meeting as a first stop before asking a question on Basecamp.

If it’s time-sensitive, post to slack (IC channel, SILS Chairs are good options)

Questions for Ex Libris PM (recurring)

Post questions in Basecamp as they come up. It’s open 24/7!

Note: We lose in efficiency and we may lose in translation when questions go through the PMs. When topics come up that should logically go to Basecamp to the Ex Libris consultants, invite an IC (or appropriate person) to take point on that issue.

  • Reminder about the UC-Alma group as we get closer to test load (great place to post questions!) - Send instructions for subscribing to SILS Cohort?

  • SILS-wide policy on how to handle gender information in a patron's record in light of the UCOP policy: https://policy.ucop.edu/doc/2700693/GRLN

    • Was this discussed in patron data group? No.

    • Patron data group has not come up with any recommendations on this systemwide.

    • Gillian suspects these decisions will be handled campus by campus

    • UCSD includes a preferred pronoun field - ask Greg to talk more about this.

    • No campuses are asking for gender.
