Millennium campus focused meeting

Understand vanguard data extraction process for Millennium campuses (UCB, UCSF, UCSD, CDL)

  • Le went through a powerpoint presentation and shared screen to demonstrate tools. She reviewed the data migration phases for first 15 minutes, then went into more detail about forms, files, data validation tool.

  • Question from Greg: Once the files are run through and validated, they auto-populate something. Which forms are auto-populated through validator? It auto-fills both the mapping and migration forms.

  • For the form to be auto-populated, you must select all files at the same time for validation; otherwise one file at a time will overwrite each other.

  • Le posted a sample data extract file on basecamp in the data extract task

  • Is MarcEdit required?

  • What size bib file did Le validate? 4.5 million bibs took 1-2 hours. 1 file takes 5 minutes, but faster to do them all and do something else while they are validating.

  • Who will use .mrc files? UCSB probably. UCB would use .mrc as they don't want to open bibs in MarcEdit to convert them to MARC. UCSF will use .mrc. UCSD ?

  • If the form auto-populates, why would we manually fill out the form? (not really answered)

  • Validation tool: validates structure then the content.

  • Slide 69: Centralized Publishing = NZ.

  • 900-949 fields – incorrect in slides. See Laurie’s response on basecamp: https://3.basecamp.com/3765443/buckets/15553579/messages/2686920923

  • Ran out of time and meeting was extended to 3:45pm. (Observation: could have skipped the intro to allow more time.)

  • Preferred name: Does it parse preferred name into 3 fields last, first, middle initial? If it doesn’t parse it, it’s not very useful. Le’s experience in a project 6 months ago was it did NOT parse. Preferred name is important for many institutions. Le asked Greg to post this enhancement request to basecamp and ExL idea site. The data validation tool currently doesn’t work for preferred name but Laurie has said it’s in dev and should be available later in the project. (Vote for pronouns as an enhancement on the ExL Idea site!)

  • Use plus icon to add additional fields for mapping, such as for notes field.

  • Questions for iii campuses

    • Paying iii for export files - is this an issue for any campus?

  • Le suggested if you are the only person working on the deliverables, focus on extracting the data first.

  • Le will post her presentation on basecamp.

  • Next step: Schedule individual campus meetings with Ex Libris for June 9-12 for each vanguard institution. Lena will send times to Marci on Friday around noon PT.

  • Some of the Ex Libris documentation for migrating from iii to Alma is taken from Boston U and other parts of the documentation mention Symphony so there’s some concern about the accuracy/applicability of the documentation. It’s helpful to have individual meetings with campuses to answer specific questions and confirm the process is understood.
