HOW TO: Change an OCLC number in an NZ-linked record

The 035 field is configured in the NZ (as of May 20, 2024) so that it cannot be edited or deleted if it contains an OCLC number (i.e. has the prefix (OCoLC)). This configuration supports the SILS policy that 035 fields in NZ records cannot be edited to represent a different WorldCat (OCLC) record.

To change your holdings to a different WorldCat record:

  1. Copy the record to catalog to create an IZ-only version.

  2. If appropriate, mark the NZ version of the record for deletion.

  3. Export the desired record from Connexion/Record Manager to the NZ.

  4. Paste the desired OCLC number into the IZ record.

    • Make sure to delete any other OCLC numbers that may be in other 035 fields.

  5. Share the record with the network to link up to the desired NZ record.

Situation: A French-language-of-cataloging record was accidentally added to the NZ.

Open the record in the MDE. Record Actions - Copy to Catalog

Then, search for the record again in the NZ. In this case, no other campus has holdings.

Open that record in the MDE and mark it for deletion. Editing Actions - Enhance the Record

Choose allUC Mark NZ bib for deletion - Ok. Save!

Now, in Connexion/Record Manager, find the correct record and export it to the NZ as usual. Copy the OCLC number. 

Go back to the IZ record in the MDE. 

Paste the OCLC number into the 035 field. Delete any extra 035 fields with OCLC numbers. Save. 

Record Actions - Share with network

Matched records exist. Click Yes.

Confirm that the matched record is the record you just exported from Connexion/Record Manager. Click Link.

You now have the correct OCLC record in the NZ.
