Running the Prevent FRBR and/or Dedup in Discovery Job in the Network Zone

Background

Sometimes Primo VE merges two records that shouldn't be merged together via its dedup process. There is a way to manually fix this problem but if the records are NZ records, it must be done at the Network Zone level rather than the campus IZ level.

Occasionally we may also be asked to change FRBR and run the Prevent FRBR and/or Dedup in Discovery job but this is less common. The basic steps are mostly the same.

Note: The last step of this process is to run the Recalculate Local Resource Types Job. Running the recalculate job forces a Primo VE reindexing to sync the changes.

Steps

  1. If needed, look up the NZ MMS Ids for the records

    1. Login to Alma Analytics

    2. Browse to /Shared Folders/University of California System 01UCS_NETWORK/Reports/CDL IC and Open NZ MMS Id Lookup in E-Inventory and Physical Items

    3. Enter the MMS Ids enclosed in parentheses and separated by commas (for example, '991002861219706532', '991086114639406532')

    4. Click ok and copy the resulting Network Ids

  2. Make a set of the MMS IDs that should be dedupped

    1. Click on the Admin icon and under Manage Jobs and Sets choose Manage Sets

    2. Click Create Itemized Set

    3. Enter a Set Name. The content type should be left as All Titles. Uncheck the Private checkbox and then click Create

    4. Enter a relevant Network MMS Id (from step 2)

    5. Place a checkmark next to the record and then click Add Selected.

    6. Repeat until all the MMS Ids have been added

    7. Click Done

    8. Verify the titles have been added by click the Content button

  3. Run the Suppress Dedup job

    1. Click on the Admin icon and under Manage Jobs and Sets choose Run a Job

    2. Switch the drop down search box to Name and then search for Prevent FRBR and/or Dedup in Discovery

    3. Select the resulting job and click Next

    4. Search for the set created above, select, and click Next

    5. Next to "Prevent Dedup in Discovery?" click the drop down and choose Yes. NOTE: If you instead need to prevent FRBR, click Yes for that drop down instead.

    6. Verify everything looks good and then click Submit

    7. Wait for emailed confirmation the job has finished

  4. Run the Recalculate Local Resource Types Job

    1. Click on the Admin icon and under Manage Jobs and Sets choose Run a Job

    2. Switch the drop down search box to Name and then search for Recalculate Local Resource Types Job

    3. Select the resulting job and click Next

    4. Search for the set created above, select, and click Next

    5. Verify everything looks good and then click Submit

    6. Wait for emailed confirmation the job has finished.

  5. Let the requesting campus know the job has finished. Note: it's best to wait at least an hour to make sure the change syncs with the campuses Primo VE.

Troubleshooting

If two records insist on staying dedupped, try running the "recalculate local resource type job" on them again and wait an hour to see if that fixes the issue.
