Deadline for setting passcodes on Zoom meetings was extended to September 27. Meeting passwords (passcodes) are already enforced for all free accounts. For Zoom for Government accounts, Passcodes or Waiting Rooms will be required on October 18, 2020.

We are in the Vanguard Phase (June 15 to end of October)

Vanguard campuses: UCB (iii), UCLA (Voyager), UCSB (Alma), UCSD (iii), UCSF (iii), CDL

  • Sep 4: Vanguard Alma environment with test data ready for review and testing MOSTLY DONE! (Some instances were delayed until 9/8 and 9/11)

  • September: Vanguard Primo VE training IN PROGRESS

  • Sep 16: Vanguard Primo VE ready for review and testing

  • Sep/Oct: Alma & Primo VE Certification

  • Week of Oct 5-9: Alma training workshops (IT is finalizing times with Ex Libris; will send invites soon)

  • End of October: Vanguard completion & lessons learned

Upcoming special meetings with Ex Libris

  • Sep 10: “Alma Data Review” special meeting

  • Sep 14: Intro to Primo VE & CDI

  1. ICs will spearhead local campus testing and distribute local accounts in the VG instances.

  2. FG Chairs will spearhead systemwide testing, and will request VG instance accounts for non-VG FG members as needed on this form https://docs.google.com/spreadsheets/d/1TdOXbR7E13UUZPWsx2NYkfP-jCkNq3TDgsmxZQYOKQo/edit#gid=0

  3. Non-VG local campus staff who wish to view VG data can request an account in October 2020.

  4. Before receiving an account, everyone must complete the Acknowledgement of Data Security Responsibilities form

  5. (New) Moratorium on any type of bibliographic and holdings records work by vanguard campus or SILS groups that could impact data in the NZ until 9/21/2020. This would preserve the data in its migrated state and allow for Resource Management FG to do their data review.

Test Plans:

  1. ILSDC / Data Validation checklist is the foundation for local campus testing.

  2. Local campus test plans focus on local needs

  3. FGs are creating their own test plans based on systemwide decisions.

Timeline

  • Alma Instances are available on Sep 4-11 (Primo on Sep 16)

    • Accounts start being made

    • Data and configuration validation

  • Sept 21st: Provided migration was successful, Vanguard campuses will begin creating FG Test accounts. Roles will be assigned based upon requested test function.

  • After September, non-Vanguard local campus SILS teams can request access through their IC.

  • Comments on opening basecamp

    • What problems would it solve for you if we were to open Basecamp to the cohort more broadly?

    • What problems would it create?

    • It would be opened upon request.Would local implementation team members be eligible? Yes, Carlo has 3 members at UCLA who have accounts. These members have complimentary knowledge and vet their local team’s questions before going to Basecamp.

    • Tom noticed as more local team members were added, it speeded up answers to questions. Worked well.

    • Adrian pointed out we would need to have some Basecamp best practices about how to post questions and manage basecamp.

    • Would a basecamp slack channel help?

    • Some ICs have seen some mis-interpretation of information on Basecamp.

    • “Find” feature in Basecamp is handy to see if a topic has been posted already.

    • There has not been a need from Discovery for Basecamp access at the moment. Yes - Basecamp overload is a true downside

Searching isn't super easy but we've run into duplicates even in Vanguard

    • Expand access to Basecamp? Poll results: 3 yes, 3 no, 13 maybe
