Team Charter

 

Objective: State the purpose of the group in 25 words or less (brief, energizing).

Ensure the changeover from the SILS project to the ongoing governance structure is smooth and transparent.

Roles: What are the duties needed to get the work done? Who will take notes? Who will keep meetings on track/time? Who is responsible for tracking actions?

  1. We are all responsible for tracking our own actions and getting them done on time.

  2. We rotate note taking duties alphabetically.

  3. We put estimated times on the agenda and we all watch the time

  4. Co-chairs put together the agenda. Members slack the channel to add an agenda item and discuss.

What are our expectations for working together? Create a list of statements that the team agrees to uphold. For example, ask yourself: How do we make this group a safe space for transparent discussion (knowing that it might become contentious, and avoid back-channeling)? What are our ground rules for meetings? How do we ensure everyone is engaged? How do we ensure everyone has a voice? How will we resolve disagreements?

  1. We commit to doing as much listening as talking. We invite people to talk who we haven’t heard from yet. We ask people who find they are talking a lot to make adjustments to balance conversations.

  2. Suggested practice: Send Q’s to consider before we meet for regular meetings

  3. We use fist-of-five for decision making.

  4. We assume everyone has the best intentions. We check our assumptions and ask clarifying questions when we’re uncertain.

  5. We use the bunny card respectfully when our conversation takes a deep dive that is not productive. We use the parking lot for topics that are important but not today.

  6. We create agendas with sufficient time for members to prepare.

  7. We assign homework outside meetings to get work done and ensure everyone is participating.

  8. We accept responsibility for the work we have been assigned and come prepared to meetings.
