(Initial Post-Go-Live) Outbound Linking from Vendor Platforms (AEFG MVP 006) - Running Notes: 6/18, 6/25

Meeting 6/18 CDL/AEFG (Lisa M., Nga, Lisa S., Carla)

Campuses custom domains being confirmed (see 6/14 Ex Libris Update Session) -ACTION: Lisa S. to confirm w/ IC. Discussion of where Get It image lives.

Review this CDL page: https://cdlib.org/services/collections/licensed/policy/uc-libraries-interface-branding/

ACTION: Establish Google Drive collaborative space (with access to CDL all-project members; campus all-project members; AEFG other cc’d) - 6/25: NOW THAT SUBGROUP IS APPROVED CAN START TO CRAFT

Project Management:

Best documents to manage (shared spreadsheet; campus-reference spreadsheets - the in-sync aspect)

ACTION: LISA S. TO REFINE GOOGLE DOC PROJECT WORKSHEET FROM UCD TO MODEL THAT COULD WORK FOR CDL/CAMPUSES

Coordination/communication paths: launch session for orientation; subsequent sessions for dynamic coordination, support

Update Paths:

  • Tier 1 that is CDL-managed and CDL manages the admin credentials.

  • Tier 1/CDL managed where the content providers' admin interface indicate a campus needs to update on their side.

  • Tier 3 that is: with a content provider not in the CDL/providers-in-common list

  • Tier 3 that is not a provider in common and could be updated on the campus side

Location of admin credentials (where CDL has been recording); needing to update admin credentials.

ACTION: Lisa M. and Nga to look for admin credentials documentation on CDL side (WAIT FOR DEPENDENCY OF CARLA DELIVERING RESULTS FROM QUERY 2 REVIEW).

ACTION: Carla to take a look at SFX Query 2 across campuses to assess providers-in-common (i.e., where there is likely coordination between campuses and CDL

GOAL: to have a list to triage re: what a content providers' interface will guide to (CDL updating or campus updating). NEXT GOAL: to prioritize “heavy hitters” - resources that have high-impact for Discovery outcomes, troubleshooting. Tiers of updates for impact on user experience.

PROSPECTIVE PROJECT PHASES - to work within availability of SFX which is up for 90 days after go-live:

  • PHASE 1: for 0 - 30 days from go-live, likely to include most prominent resources with high impact

  • PHASE 2: for 31 - 60 days from go-live, next group of resources

  • PHASE 3: for 61-90 days from go-live (aiming for 61-75 days with imminent loss of SFX access at 90 days), remaining resources with first pass; resolving issues from earlier phases; closeout review.

NOTE: Alma Link Resolver path and SFX path have different troubleshooting paths - routing to campuses first or CDL first for review/referral/resolution. Underlying goal to provide unified user experience to support patrons results and internal staff understanding.

ACTION: NEXT MTG 6/25 11am if workable, or into early afternoon.

6/25 Notes: (separate from any annotations to actions, etc. above)

ACTION: LISA S. CHECK ON HOW CAS IS AFFECTED (ask Dale at UCD, look at notes).

Carla presenting SFX Query 2 data. Ranking top sources for each campus, common providers, etc. Building master list from campus lists, to see what first round would be to switch over.

ACTION: LISA S. to confirm w/ ALISON re: GOOGLE SCHOLAR and THAT UPDATE (also look at UCD change if would inform this change)

PubMed: w/ linking w/ UC-eLinks … updating the OTool. Linking from PubMed via Alma Link Resolver.

ACTION: LISA S. can gather PubMed documentation for UCD. Lisa M./ Nga to look at it from CDL side.

CAS: Chem Abstracts Service, by SciFinder, SciFinder includes Medline DB to biomed lit.

NCBI: OTool: https://www.ncbi.nlm.nih.gov/books/NBK3803/

Lisa S. showing draft spreadsheet.

If vendor in common, but local subscription, where does updating happen?

Adding some columns: method of update, issue updating.

ACTION: LISA S. to go through UCD list to add notes per provider.

SFX data registering library catalog activity, other activity that may drop off.

SFX team (Alison, Gem)

Revisiting SFX output docs.

EndNote/Zotero - end-user updates. Lisa S. sent past UCD info to Discovery FG re: not being in this scope. ACTION: LISA S. to follow up w/ Discovery FG.

WorldCat? - Other OCLC-side resources - need to have a different approach? May be different person on a campus who manages OCLC settings vs. the person who does e-resources content provider admin credentials.

ACTION: Lisa S. to send Nga screenshot of GOBI preferences for open URL there.

Other NEXT STEPS:

Decision page revision - to take to AEFG and via approval process. (Lisa S. / Carla to work up to get to review stage for AEFG - asynchronous since 6/30 AEFG cancelled)

Finalizing what the CDL-side list would be - and the project spreadsheet.

Project Structure: to fold into an introduction slide deck for subgroup.

Potential - by July 19th/20th have introduction session?

July 1st: assess project documentation, get into project management mechanisms/details.

ACTION: Nga to go through Carla’s list to indicate if CDL-managed or Campus-managed re: admin credentials. (adding two columns - resource managed by and admin managed by).
