Adding 910 notes to migrated bound-withs with "related records"

*Note that this process can be used for other bibliographic records with “related records” that need to be protected from batch deletions

There are two models for bound-withs in Alma:

1.) “773s”: a “real” bibliographic record is used to hold the inventory for the bound-with and 773 fields are added for the other related titles, with the IZ MMS IDs in $w. In a consortial environment this record is usually an NZ record.

2.) “774s”: a record exists in a campus IZ solely for the purpose of holding inventory, during migration these are given a generic title that starts with “host bibliographic record for…” The records include 774 fields for “related” bibs, with the other IZ MMS IDs in $w

In a networked environment all of the “real” bibs need a note to exclude them from batch deletions in the NZ since the NZ delete job does not consider those relationships.

To add the 910 notes to migrated data, RMFG proposes the following workflows:

For campuses using the 773 model:

  1. Create a set of impacted bibliographic records based on existing local practices for identifying bound-withs.

  2. Share this set with the NZ using “save in network.” This will automatically add the campus name to the set and save a copy in the NZ.

3. Send an email to CDL sys-ops with the following information:

Subject: NZ normalization job request

Name of the set

Name of the normalization process to be run, should be one of the following:

  • UCB add 910 has related records

  • UCD add 910 has related records

  • UCI add 910 has related records

  • UCLA add 910 has related records

  • UCM add 910 has related records

  • UCR add 910 has related records

  • UCSB add 910 has related records

  • UCSC add 910 has related records

  • UCSD add 910 has related records

  • UCSF add 910 has related records

For campuses using the 774 model:

  1. Create a set of “host bibliographic” records in your IZ

  2. Export the bibs and open the file in MARCEdit

  3. Use “export tab delimited records”

4. Load the list of MMS IDs into Alma via “Manage sets”

5. Share this set with the NZ using “save in network.” This will automatically add the campus name to the set and save a copy in the NZ.

6. Send an email to CDL sys-ops with the following information:

Subject: NZ normalization job request

Name of the set

Name of the normalization process to be run (should be one of the following):

  • UCB add 910 has related records

  • UCD add 910 has related records

  • UCI add 910 has related records

  • UCLA add 910 has related records

  • UCM add 910 has related records

  • UCR add 910 has related records

  • UCSB add 910 has related records

  • UCSC add 910 has related records

  • UCSD add 910 has related records
