(Vanguard and Test Load) Preparation of Campus SCP Data
Legend: not started IN PROGRESS STALLED decided

Scope | VANGUARD and TEST LOAD |
Description | A data cleanup decision regarding how campuses should prepare local SCP records. |
Decision | PPC recommends that local campuses follow the clean-up protocols for SCP records and SCP-related data as described below. If clean-up cannot be completed before data migration to Vanguard, plan on testing/preparing post-migration clean-up tasks due to duplication with SCP records loaded to the NZ. |

Recommendation
Campus SCP Records
Action: Identify SCP bibliographic records in local catalog
If holdings are SCP-only, and there are no other record types attached, remove record (do not send with data extract)
If holdings are SCP and local, remove all data related to SCP (599, 793, 856, 9xx fields; 035 SFXObjID for SCP in bib record and remove related holdings record, if applicable)
From the ACQ/ERM FG: If order records are attached to an SCP bib record in the local ILS:
Send with ILS data extract since order records should be migrated to IZ.
If SCP-only and CDL order record: suppress bib record. Include bib on P2E. Expected migration outcome: E-inventory will not be created. Order will convert as electronic order type.
SCP+local orders (i.e., bib includes 856 for local holdings, assuming SCP 856 and any other SCP data in bib will be deleted): Don’t suppress the bib. Include bib number on P2E. Expected migration outcome: Local e-inventory created and most recent order will be converted to electronic order type. Vanguard should develop strategy for addressing this scenario before test/main migration.
In both cases, bib record must be included in P2E file in order to create electronic order type vs. print order type. Prepare for post-migration clean-up in the Vanguard to address duplication of electronic inventory with NZ inventory created via SCP’s P2E process.
To the extent possible campuses should try to prevent adding these to the NZ (see Bibliographic records to leave out of the Vanguard NZ )
Qualifications:
If you can’t remove your records from your main data extract, that bib record will be loaded into the local campus IZ and (if 035 OCLC numbers are left in the record) any bib records already in the NZ. All of the 856 fields on that record will generate their own e-resource records, causing extensive duplication with the CDL SFX data that is being loaded into the NZ along with any other e-resource bibs coming in from other campuses. [Note: explanation in this section modified to accurately describe anticipated duplication after revised decision for CDL’s SCP records. Recommendation for local data is unchanged.]
THIS IS A LOCAL CAMPUS DECISION if you get to this point.
Reasoning
Purpose: Prevent duplicate records
Ramifications if not done: Duplicate holdings for CDL-licensed resources will show in the Alma NZ
Background
5/11/20: ILSDC recommendation: Local institutions - Take your SCP stuff out: remove your SCP access points vs the record itself. (RM FG confirmed that we do recommend this, concerns about it being feasible for some campuses)
SCP may be able to help by sending delete files for campuses.
About 20% still have print and electronic; trying to get them done before migration. For the Vanguard might need to keep some composite records.
Can SCP redistribute the records if people remove them?
UCLA / UCSB - can people who are getting their data moved wholesale remove records in the same way that III campuses (who are sending a separate data extract) can?
We don’t want to remove stuff from the “real database” but only want to do that for the P2E process.
