Recommendation
Daily updates for non-serials will be processed starting December 7, 2021
Bibliographic records for non-serials will be automatically overlaid using the import profiles noted below. Records for serials will be “loaded” for the purpose of matching but will not overlay. Instead, records will be staged for further review
RMFG will solicit feedback from campuses and adjust the import profile(s) and rules as needed over time
Campus “-ER” (for example CUSER vs. CUS) holdings set by CDL are out of scope until SCP finishes its own cleanup and a plan for updating these records is in place in order to minimize confusion
OCLC delivers 4 types of files through WorldShare (based on criteria noted below):
“New”: one of the holdings symbols below has been added to an OCLC record for the first time (i.e. none of the symbols listed below were attached previously)
“Updates”: a change has been made to a record that already had one of the holdings symbols attached
“Merges”: 2+ records with a symbol below have been merged in OCLC
“Deletes”: ALL of the symbols listed below have been removed from the record
RMFG will not process “deletes” during Phase 4
Campuses can exclude individual records from being overlaid by adding this field:
903## $$aExclude from WorldCat Daily Updates
The 903 should be used as sparingly as possible in order for the entire system to benefit from daily updates
The 903 field does not preclude campus catalogers from manually overlaying the bib via OCLC export, it only excludes the record from the automated overlay process
This field can be added at any time. If a campus discovers that a record should be protected from WorldCat Updates after December 7, 2021, they are free to add the 903 to prevent further automatic overlay.
WorldShare Collections (created by UCSD):
Non-serials
Holdings: CUV, CUY, CLU, CUS, CUI, ZAP, ZAS, UCILW, LLB, CBG, CUX, CLETH, UCFTA, CUN, MERUC, MERA, CUT, RQE, CRU, CUZ, UCDLL
NOT Mt:cnr
Trigger for record delivery: any changes to master
Records updated/holdings added after 01/01/2021
Include 908 field with structure: WorldCat Daily Updates [YYYY-MM-DD] [reason for record output]

Alma production import profiles:
Non-serials:
WorldShare “New,” “Updates,” and “Merges”
Note that “New” records should already have a record in Alma with the right 035 by the time OCLC delivers a copy through WorldShare. RMFG expects that catalogers will export records from Connexion into Alma if the record doesn’t already exist in Alma at the point of cataloging.
No inventory creation
“allUC” Normalization #2
Remove 856 fields from incoming records, keep existing
“allUC” Merge #1
Indication rule to filter out records with:
903## $$aExclude from WorldCat Daily Updates
Don’t publish to OCLC or any other external source. RMFG will confirm whether this has any impact on IZ publishing profiles
Upon no match, records will not be imported but a report will be generated for campuses
Multi-matches: skip record and do not import
CDL staff will download the multi-match file and re-run it through a designated multi-match profile. The UCs will allow automatic merge & combine for these situations given that the records will have been combined in OCLC already
Ignore CZ records
Serials:
Indication rule to filter out records with 903
Upon match: do not import, stage report for campuses
“allUC” Normalization #2
Don’t publish to OCLC (or any other external source), check impact on campus publishing profiles
Upon no match, do not import, stage report for campuses
Multi-matches: skip record and do not import
Ignore CZ
Reviewing records and reporting problems:
Records modified via WorldCat Updates can be located using the “Shared NZ Processing Note (908)” index in Alma, with this search: “WorldCat Daily Updates”
Campuses can narrow their search down in various ways, including specific dates using “WorldCat Daily Updates [YYYY-MM-DD] or facets/indication rules in Alma.
Feedback should be sent to RMFG via campus representatives until December 23, 2021 and then to the UCLAS Cataloging and Metadata Operations Subteam (CMOS). Liz Miraglia is the provisional chair of that group and can field urgent questions/concerns that arise prior to the first UCLAS CMOS meeting.
Reasoning
WorldCat Updates will allow the UCs to take advantage of automatic updates to our records, even when they are performed by non-UC catalogers. They provide us with the most up-to-date copy of a given OCLC record and also help reduce multi-matches by combining records in Alma that have been merged in OCLC.
