Centralized resource sharing configuration settings (that is, those that are not maintained in your Alma Institution Zone) are maintained in several parts of the system:

  • In the Alma network zone.

  • In IVEA (the Illiad to VDX Email Adapter maintained by CDL)

  • In VDX and in the OCLC NCIP gateway.

The tables in the RS OST configuration folder are used for documenting and tracking some of these configuration settings for CDL, OCLC, and resource sharing partners when they need to be aware of the settings.

Important: If you want to make changes or corrections to any of these settings, make the changes yourself in the table, then notify CDL of the change you have made by sending an email to ResourceSharingHelp@cdlib.org. If the change is in NCIP, or if you just prefer that CDL make the change to the table for you, just send a request to ResourceSharingHelp@cdlib.org.

IVEA-Locations

The IVEA-locations table is where each institution specifies its pickup locations, the mapping between the Alma name for these pickup locations and the corresponding VDX pickup location, and which VDX location will manage requests going to the pickup location. IVEA uses these settings to choose the correct VDX location when it receives a request from Alma.

The Alma Library Organizational Unit Name must be exactly the same as the name the patron chooses for the pickup location in Primo. This setting is required for IVEA to select the correct VDX pickup and managing locations, and these settings in turn enable NCIP to route the request to the correct location in Alma when an item is received. If this setting is not provided or not correct, IVEA will send the request to the default pickup location at your institution.

The VDX Pickup Location Code is the VDX location code of the pickup location as defined in VDX. This setting is required if the pickup location is not the same as the managing location: for example, items to be picked up at the Powell Library at UCLA (ULA12) are managed by the Young Research Library location (ULA1). If the pickup location and managing location are the same, you can leave this field blank. 

Important: note that if the pickup location and managing location are different, the pickup location must be set as a non-requester in VDX.

The VDX Managing Location Code specifies the VDX location where the borrowing request will be managed. This location is required and must be set to a VDX location that has the Requester role. If IVEA does not recognize this location, it will send the request to the institution's default managing location.

The VDX Pickup Location Name is for informational purposes and is not used by IVEA.

IVEA Patron Categories

The IVEA Patron Categories table enables IVEA to choose the correct VDX patron category, based on the patron category that it receives from Alma. The only effect of the patron category is to display the correct category as part of the patron name in the VDX borrowing requests, so that the borrowing unit can be informed of the patron category.

The Alma Patron Group Code is the value that IVEA receives in the Alma borrowing request. If IVEA does not recognize the Alma patron group, it will set the patron to the default category (PATRN).

The VDX Category can be one of the following values:

  •   FACUL("Faculty"),

  •   PATRN("Staff"),

  •   GRADU("Graduate"),

  •   UNDRG("Undergraduate"),

  •   VISIT("Visiting")

Because VDX does not have a STAFF category, IVEA uses the PATRN category for staff users, and the default patron category will display in the VDX borrowing request as "Staff". 

Note: If you have users unexpectedly showing up as Staff in VDX, it is probably because your IVEA patron categories configuration is incorrect or incomplete.

NCIP

The NCIP forms are files sent to OCLC to instruct them how to set up the NCIP configuration for your institution. The NCIP settings take effect when an item is received in VDX, and determine:

  • What resource sharing library will receive the request (if your institution has multiple resource sharing libraries)

  • What pickup location the request will transit to after it is received by the resource sharing library.

One thing that can be confusing, is that the pickup location and the resource sharing library may be the same physical location. However, they are configured as separate locations in Alma to prevent Alma from immediately sending a notification to the patron when an item is received.

Restriction Rules

The Restriction Rules table specifies locations that will not participate in resource sharing as lenders. These locations will not be added to the AFN rota. 

The restriction rules are configured in the Alma Network Zone, then distributed to the institution zones.

Please make any changes directly on the sheet. Google sheets will notify SILS Operations Center staff of any changes, so there is normally no need to contact the SILS Operations Center directly. Changes will be put into the sandbox and then into production the following Monday, Tuesday, or Wednesday (excluding holidays).
