Background

Sometimes members of the Resource Management: Cataloging & Metadata Operations Subteam (RM-OST) request that we manually load a batch of OCLC records into the Network Zone (NZ). This most often happens when they want to make sure subject headings are updated.

Steps

  1. A member of the RM-OST should email a MARC file. (We need it as a MARC file because the SILS Ops Center does not have access to Connexion.)

  2. Open up Alma and click on Resources.

  3. Under Import click Import.

  4. Find the import profile named "allUC OCLC WorldCat Updates via Manual".

  5. Click the three dots and choose Run.

  6. Click Select File and click the folder icon to choose the correct MRC file.

  7. Add a label explaining what this is for.  For example, OCLC Subject Fix - Evacuation and relocation.

  8. Click Add.

  9. Click Submit.

Report Information

If the requester wants information on the failed reports there's a couple of options:

  1. Open up Alma and click on Resources.

  2. Under Import click Import.

  3. Click the Monitor Imports button at the top right of the screen.

  4. Find your job and click the three dots next to it.

    1. To get a list of MMS IDs that were not overlaid:

      1. Click Events.

      2. Click the export button on the top right (under the back button) to export to Excel.

    2. To get the actual MARC records that didn't import:

      1. Go back to the three dots and click on Report.

      2. Expand the Records Not Imported section.

      3. Click the three dots next to each category and click Download Sources (binary).
