  • RACI and Comms section of decision pages need to be filled out. PMs can help with this.

  • PPC debriefed meetings with Ex Libris.

  • ICs expressed that the timeline for Millennium extracts wasn’t feasible. No new dates posted.

  • Some of the information gathered from Ex Libris might be appended to relevant decision pages in order to add context.

Fulfillment and ILL FG zoom meeting with ExLibris Debrief

Let’s discuss the answers we received from Exlibris. Did they spark any critical issues we should turn our attentions to now, or keep in mind to work on? What impacts do these answers have on our fulfillment network decision?

Existing questions:

  • There are existing questions about Ex Libris' involvement in migrating and testing data in the Vanguard.

  • Will we have to fill in a migration form to set up the vanguard or will they just do it for us?

  • Is there a sandbox that we could test now, populated with fake data?

  • What is the difference in creating a centrally managed Fulfillment Network (CDL hosted) compared to one managed at the campus location? Which one would we use?

  • This group may need to examine which approach to take regarding research sharing: ROTA or Item based.

Notes:

  • It sounded like, in the meeting with Ex Libris, that we are bound by Primo scoping and influencing patron behavior if we implement an Item based system.

  • In Item based a patron would have to put a note in the ILL request if they wanted a specific volume.

  • Most requests are for a single monograph.

  • It might be easier for the user to just hit the “Request” button, rather than select a location to borrow from.

  • Consortial blocks have to be entered manually. It might be possible to create this automatically through a custom script.

  • Alma closes transactions when bills are sent to the Bursar’s system.

  • Some campuses are collecting bills in house. Others go through their Bursar.

Decision Pages:

  • We can keep adding information to the Decision Pages as more information is surfaces.

  • The RLF Team might need to be informed (RACI) regarding ROTA configuration in the Fulfillment Network.

  • Wait to discuss releasing the decision page regarding the Fulfillment Network until next week.

Elizabeth will ask PPC how to make additional meetings with Ex Libris moving forward.
Elizabeth will ask if there is a sandbox available.
Linda Michelle will let the RLF group know that the Fulfillment Network Decision Page is on Google Drive and that they might need to weigh in on ROTA configuration. .

  • The group should take a week to look at all of the bullets and make sure that they agree or want to add anything.

  • Local migration forms are being filled out at the campuses.

  • Can we test ILL out of the Vanguard? Configuration may have to be harmonized in some way so that each campus isn’t individually trying to connect to VDX.

  • Potentially: There are two integration points ISO ILL to create the request in VDX and NCIP2 to fill the request. This would get rid of Request and MyILL. This doesn’t require a second authentication on the user end.

  • Another option would be to use an OpenURL and link to Request or MyILL but they would have to log in again.

  • There are third-party integration forms that each campus filled out.

  • Campuses can update at the beginning of meetings regarding their local record cleanup.
