Decision Review and Vote

Review/Vote/Send to ICs

- Basecamp opened regarding changing to open days, harmonization, and what can/can’t be changed at the IZ level https://3.basecamp.com/3765443/buckets/15553579/messages/3832319657

    • Jason and Scott were going to write some workflow documentation outlining how campuses might handle renewing VDX items. The information will be added to the decision page as recommendations of two possible workflows for campuses to consider.

All

Harmonization of Loan Periods…:

Hold Shelf Period: Currently 7 days refers to open days.

Overdue Recall Fees: ExL recommends that we have completely separate TOUs if we don’t have a harmonized amount.

Recommended Renew Workflow…:

Decision page has been added as a recommendation for campuses. Jason will add some additional information.

Elizabeth will reach out to ExL and see if we can break only the Recall Fee TOUs.

3

To Do For Go-Live

    • FG members were going to add their campus information to the documents provided by Jason in Google Drive.

Alma “On Hold Shelf Letter”:

Campuses should add their contact information to this page.

Some campuses are bringing the AFN online at go-live, they might need this messaging right away.

Campuses not joining the AFN until they are fully open, post special COVID responses, don’t need to add text related to that situation.

The added text would go at the bottom of the Hold Shelf Letter and include pick-up instructions.

Coordination with CDL and OCLC During Migration:

This document outlines what will occur as we cut-over.

There might need to be an additional line added for Merced’s Circ freeze which will be just a few days.

Production testing can begin July 23.

Worldcat will become Basic Worldcat (BWCD) on July 27. Request will be replaced by “Get it at UC”.

There is also a section for campuses to provide information on the Circ Freeze.

Campuses should take a look at and add information to “Coordination with CDL and OCLC During Migration.”

4

Group Testing w/ ILL Ops

We can test the second one using the checkouts from the first test

All

Item was requested from UC Davis and theoretically went to NRLF. There may be a delay.

It appears that Berkeley will show up in the ROTA for items that are held by NRLF and need to be cancelled twice if the item can’t be supplied.

Trying this again with a request from UCLA. It looks like the ROTA is working as expected, except for NRLF. Elizabeth will test this with SRLF specifically.

RLF Non-Circ items requestable for in-house use

Will need to test in Test Phase

There are some hacks used for library-use only items that can’t be checked out and back in because it will kick off a return process. This will have to be figured out for ExL.

Davis tried creating a “Reading Room” circulation room. This was difficult for circulation staff to manage. There is now a transit step between ILL and the circ desks that allows the item to be checked out again before initiating the return process.

This issue does not just apply for LUO items, but specifically to the RLFs.

Mark will reach out to Lynne Grigsby regarding this question, and based on this discussion, Joe F. and Elizabeth will start a discussion in Basecamp with Ex Libris if needed.
