Deliverables from charge:

  • Determine systemwide UC Libraries internal training needs;

  • Assess existing Ex Libris training services and opportunities, including the Ex Libris KnowledgeCenter, and determine when UC will need to develop UC-specific training materials;

  • Develop and carry out a comprehensive, systemwide training plan with the Training & Outreach Coordinators and in consultation with the SILS Working Group;

  • Improve vendor-supplied training objects as needed (and as permitted);

  • Develop and organize train-the-trainer sessions for the system (where multiple reps from each of the UC Libraries get trained);

  • Utilize instructional design principles to develop new training objects/templates, as needed;

  • Determine and recommend best practices for ongoing training, post implementation and reflecting potential systems updates, in consultation with the Training & Outreach Coordinators.

IT-SC identified Immediate, Short Term, Medium Term and Long Term needs:

  • SHORT-TERM: Need to start the overall work plan, including review of the timeline items from ex libris and determining what additional timeline items are needed.

  • SHORT-TERM: Check in on vanguard training process

    • Is the current process working?

  • MED-TERM: October training:

    • Need to decide on the actual schedule for Oct 5-9 by the end of August

  • LONG-TERM: IT needs to discuss about April-May slots for training:

    • Are there any calendar blockers?

    • Who needs what? In terms of content? per campus

    • Anyone comfortable doubling-up? Anyone want topical advanced trainings?

  • LONG-TERM: Ex Libris has indicated they will not be providing training materials for go-live, as they have done for previous installations. Rather, material is available on the knowledge base: (for alma) https://exlibris.libguides.com/alma . We can use this material to perform the initially planned work of modification based on workflow changes from the cohort, but will need to start with the initial test cut, rather than immediately following the initial test cut. Some of the questions for the IT team will be:

    • Do we transfer these materials to somewhere else, such as google drive? If so, in what format, and who will transfer it (probably a group effort).

    • When should we transfer materials so we can start working on making modifications?

    • What topics / subjects are either missing, or need to be expanded on? What additional material might be needed (just at a high level overview, plenty of time through the project to identify additional material).

    • Marci suggested we review material from some other network zones as well:

    • In all of the work above, need to start considering formatting and branding. Note that branding will be determined by the Comm leads, but we’ll need to reach out to them to notify them of our specific need and identify our next steps alongside theirs.

    • Primo will probably follow a similar approach, but more on that soon.

Meeting Immediate Needs

Review initial GoogleDoc for documenting informal feedback

Understand weekly messaging assignments; create a schedule for Peter, Brian, Catherine, and Dominique for the next few sessions. Weekly tasks include:

  1. Posting exercises from basecamp to confluence (before Wed)

  2. Creating new Google form for Weekly questions (before Wed)

  3. Sending email to SILS Chairs and IT team for distribution (Wed)

  4. Posting weekly questions to basecamp (following Monday)
