Madelynn suggested some revised language for the group’s charge (primarily to the first two bullets) and shared with the group for feedback.

There was a question about how many digital collections are currently represented, either at the collection level (e.g., via collection level MARC records or at the individual object level. UCSB’s Cylinders Audio Archive and UCSC’s Harry Mayo and Ruth-Marion Baruch and Pickle Jones collections all have object level records.

Madelynn did confirm that we do not have representation on All Chairs group, but can reach out to Operations Group regarding these changes and our progress. We can ask/offer to present at an All Chairs meeting if that is desirable.

Decision Tree Walkthrough

Provide an overview of the Decision Tree developed by the Phase 4 group

Decision tree was created as a tool for individual campuses to decide how best to share or represent digital collections in SILS.

A companion document helps to explain how to use the tool as well as nuances to consider around decision points. Lots of factors to consider, as well as how those factors will impact the user experience.

Collections Discovery module was brought up in Calisphere call, this was not included in the decision tree, although it was discussed previously. (Madelynn did some test searches using Table Top games collection that is represented in this module; those items didn’t come up in search.) Including Calisphere in CDI was also discussed previously, Lisa Schiff looked into this. ExLibris ultimately decides what goes into the CDI and CDI must also only contain publicly accessible content. What are the ramifications for content duplication?

Next task for decision tree from handoff document would be to share with discovery group and others to look at collections ingested after following the various paths. It might be good to do this before sharing more widely with campuses for feedback.

Discussion around context of digital collections that have been agregated and how to keep this context; Calisphere team has discussed this a lot. Decision tree is much more process based. Companion document includes this as a point of consideration.

Concrete next steps:
1. Take decision tree to Discovery Group for feedback, conversation, and testing. Incorporate feedback into source documents.

2. Figure out if there are conversations that we need to be continuing to have (e.g., around context of archival collections).

3. Share updated decision tree more widely with campuses/stakeholders for feedback.

4. Finalize documentation (e.g., how to set up a harvest).

5. Another round of assessment using the tools we have created.
