Chair

PPC wanted to make sure that everyone has access to the Zoom meetings in case of host absence.

Initial Vanguard dates were discussed. June 15 is the kickoff. August 9 is the date for the data upload. There will be two opportunities to test uploads.

PPC discussed the ownership of the Course Reserves item.

The original document was not meant to be added to but this group can add items internally, tracked and tackled through Confluence. This will serve as a parking lot for additional issues as they are identified.

ICs will have a meeting with Ex Libris on Monday to discuss an introduction to Network Zones. Group Chairs will attend as well. This meeting will be recorded. ICs will determine how information from future meetings will be disseminated.

Elizabeth will set everyone up as a host.

This group will take on the Course Reserves critical issue item. We may need to do a survey and make a decision on when to buy Liganto.

This group will download a copy of the Critical Issues document and add to it as necessary. Transferring issues to the Confluence page.

@Elizabeth Rodriguez (Unlicensed) Elizabeth will clarify whether or not all members will have access to the Vanguard data/environment.
@Elizabeth Rodriguez (Unlicensed)will copy the existing document.

All

Team Charter and roles have been moved to Confluence.

Option 1 from the Objective document was selected and will be moved to Confluence.

@Elizabeth Rodriguez (Unlicensed) will take the material from the Expectations document and populate the Confluence page.

Training Page

Confluence training dashboard for our group.

Trainings we can start familiarizing ourselves with at our own pace for now:

Training was also discussed at the PPC meeting.

A list of training materials will be shared broadly with everyone. The links to the left link to the main Alma Training page.

The group decided that training should begin as possible rather than waiting for Ex Libris to provide a plan.

The group will create and maintain a location in Google to store training materials.

@Elizabeth Rodriguez (Unlicensed) will create a page in our Google environment.

Phase 3 Critical Issues

Phase 3 critical issues

We’ll be working on the fulfillment network issue first.

  • Start filling in a confluence decision page and discuss how we should begin.

All

There are various approaches the consortia can take to set up resource sharing in Alma.

There are a lot of materials on this topic. Resource Sharing models include: Broker-Basked, Fulfillment Network and Peer-to-Peer. An institution can use multiple or all models.

Broker-Based: Used to control patrons' resource sharing activities. Does not require coordination with other institutions.

Peer-to-Peer: Used to control patrons' resource sharing activities.

Fulfillment Network: Not available between institutions that are not all using Alma. Requires sharing of patron data. Does not control user borrowing activities. Required to allow patrons to pick up and return items at any location.

Collaborative Networks: A ROTA can be set up in the network zone.

Resource Sharing videos: https://knowledge.exlibrisgroup.com/Alma/Training/Resource_Sharing/A__Introduction_to_Resource_Sharing

It is likely that we will have to discuss using at least two models at each campus. Some campuses may end up using all options.

VDX may end up being the Broker for the system unless something changes in the foreseeable future.

Our main concerns, regarding this issue, could be setting up the system-wide Fulfillment Network and Broker-Based configurations.

If Alma is not integrated into VDX, we won’t be able to borrow outside of the consortium. This would cut off ~40% of current requests.

The discussion regarding replacing VDX in the future is outside of the scope for SILS.

A potential future recommendation could, perhaps, be creating a CSU and UC Fulfillment Network. This would also include the question of whether or not we create a shared Network Zone.

The CSUs are currently on a Fulfillment Network. The CSUs were previously on Link Plus with Millennium.

One question to pursue is whether or not the OCLC Worldshare ILL contract is being continued or dropped.

We, as a group, will view the top level video in this meeting.

By next week group member should consume what additional content they can, videos and documentation, related to this issue.
