  1. Enhancement Requests (Greg) - Have we formalized the process and guidelines for submitting enhancement requests to Ex Libris (Idea Exchange) and ELUNA/IGeLU (NERS)?

  1. Put your idea directly in the Ex Libris Idea Exchange; no need to formally bring to UC SILS first, but feel free to publicize it in UC_Alma email or the Alma listserv to see if others are interested.

  2. No one expressed interest. Any Ex Libris user can self-nominate.

SSM update

Discuss data anonymization

  1. DPST: “we are recommending that the CDL NZ administrator (SSM or senior systems analyst) work with ExL to understand this issue (based on the information provided at link1, link2) and we will recommend that this be the first priority for the new SILS DS PT to resolve, once they have more information on this from the CDL NZ administrator.”

  2. “Meanwhile, if the CDL NZ administrator could also work with ExL to flip the switch to anonymize non-transactional data, the “personal data” to just retain the FN, LN, the identifier for now but this should only happen at the NZ level and not the IZ level. This data should not be deleted from the database and can always be reverted back per the documentation at at link. If this is incorrect, could the CDL NZ administrator please alert us about this asap without making the change.”

FYI item: discussion is happening in FFG on the role of SILS Ops Center in testing / troubleshooting resource sharing issues. This will likely come to ICs/PPC in the following weeks for actual stakeholder input.

Feedback on the draft support call agenda on Nov 16

  • Agenda due to ExL 11/10

  • Reach out to Caitlin, Gem, Carlo or Tom if you have something to add so they understand the issue

Data anonymization

  • Gem will open a case to ensure our understanding is correct - that we can revert data back if needed.

  • Decision: confirm we can revert the data (get this documented in the case). If yes, ICs agreed the next step is to request ExL flip the switch at the NZ level to anonymize non-transactional data.

Monthly Support call with ExL:

  • Nov & Dec: SSM, NZ admin and IC co-chair(s) as available will join the monthly call with ExL Support.

  • Jan 2022 and beyond: SILS Operations Team will decide who attends in addition to SSM.

FYI. Role of SILS Ops Center in FFG testing

  • No one staff person can troubleshoot from top to bottom at UC, e.g., on AFN issues.

  • Stay tuned for an opportunity to give feedback on a proposal to IC/PPC on workflows. Testing/troubleshooting requires collaboration, trust, cooperation.

  • Sandbox accounts don’t affect named users. Sandboxes are set up to use the AFN. They are a mirror of IZ/NZ.

  • Phase 4 handoff is due 12/3.

    • ICs have completed the post-mortem.

    • What’s left to do? Identify any remaining work that will be passed along to the SILS Operations Team, and clean up google shared drive and Confluence.

  • The same collaboration tools will continue in UCLAS SILS but they will all be administered by SILS Operations Center: Slack, Confluence, shared drive, listservs.

    • Access will continue through the end of phase 4 - 12/23/21.
