  2. (Alison, masquerading as Joe): FYI, also sent to FFG. Due to a bug, ExL recommends deactivating the “Expired Resource Sharing Requests” job in each IZ; The salesforce case number is #00985783 .

  3. (Alison): would it be okay to gather up a page of everyone's sandbox PrimoVE links? CDL Collections wants to test out some changes made to bibs/portfolios in NZ & how those distribute to IZ PrimoVEs...

  4. Standardize on option 2? Publishing profile to setup at the IZ level. Who should be consulted at campuses about this? No difference to the patron in how we set it up. Post in slack and the ICs will answer. ICs will be resopnsible to wrangle an answer at their campus. Then, it goes to PPC.

NZ-IZ syncing issue

Christine’s notes from the 8/24 meeting:

  • Ex Libris had never seen a backlog in NZ-IZ syncing before and initially had no monitoring system in place. They have since added a way to monitor this queue and have added extra resources across the board to address any backlogs in the NZ-IZ linking queue

  • Job runtimes are not something that will increase with more use (like Primo); they are a queue technology.

  • Jobs have 3 phases (initializing, running, finalizing). The finalizing phase can take the longest. Some jobs take longer than others so the type of job will also impact runtimes. Action: Ex Libris will provide a benchmark so that UCs have some guidelines on expected runtimes. Ex Libris will need to do some research first, but when can UCs expect to receive that?

    • Marina following up with HQ regarding the batch jobs runtime benchmark explanation (8/26)

  • Update from Omri from 8/24 meeting:

    • please continue to monitor this (as of now moving forward) and let us know if you have similar issues again. As you learned during this morning's meeting with Omri - that there was a serious backlog of records that slowed down the process of the IZ-NZ updates. This backlog was cleared up on Monday morning (8/23) and we have introduced monitoring to watch for this as well”.

  • For escalations:

    • Essential to include case numbers - make sure that ICs provide those to PMs when asking for escalations. PMs need to ensure IC has pinged the consultant asking for a status update before escalating.

    • Escalations can go into 2 categories: it’s urgent, or there’s a lack of communication.

  • Cleanup work in Salesforce (optional)

    • ExL will generate a report with campus contacts for each campus, if desired. Marci can also work individually with each campus.

Key deadlines:

  • Switch to Support Readiness form

    Objective: identify issues that need to be resolved and identify trends in problematic areas.

    • Due: 8/30, 9/20, 10/11

    • See 8/19 IC meeting for details.

  • Integrations form

    • Due: 9/15

    • See 8/19 IC meeting for details.

  • 9/16: IC post-mortem (check in again as we get closer)

  • Now: Register for the Ex Libris Knowledge Accelerator Program (KAP) series (Nov 3-Dec 15)

    • The EXL Training team does not anticipate anyone else joining the cycle (based on Switch to Support schedules and time zones). Do note though that your KAP cycle will include the same sessions and content EXL delivers to all KAP attendees.

Update 8/24 from ExL

  • The trainer says it's going to be too difficult to answer questions on the fly during the training as Analytics is not as user-friendly as Alma. ExL is happy to answer clarifying questions but will not be logging into multiple campus systems, and more difficult questions will be answered offline after the training.

  • IT will assist with letting the trainer know when questions have come in, and tracking questions that aren't answered for follow up after the fact.

  • Also, because UCD was one of the only campuses that said yes to showing all parts of their data, their system will likely be used for the full training
