Report back from Nov 23 Alma Consortia Advisory Group meeting (ACAG).

  • What is ACAG? Alma Consortia Advisory Group. Focuses on advocating for enhancements for consortia. And, it’s an informal forum for sharing information on what each institution is working on.

  • Consortia are under-represented in ELUNA voting for network zone enhancements.

  • Mix of large and small consortia

  1. Subgroup A “expertise” (Carlo, Lynne, Liz M) Deliverable: Create a document by the end of Nov to be shared with ExLibris.

  2. Subgroup B, part 1 “questions how to” (Tom & Carlo, Greg to create a seed document; crowd source)

  3. Subgroup B, part 2 “external resources” (Lakshmi)- Deliverable: build list of resources over time on Confluence so it’s available to all

  4. Subgroup C: PPC and IC co-chairs will bring suggestions to Steering.

  • Focus on specific expertise that’s missing and the impact on the project

  • Avoid singling out any one person

  • Feedback should be actionable

Subgroup B: Carlo, Tom, Greg. Delayed, but lower priority than A.

Subgroup C: no progress to report.

 

Provide edits on subgroup A letter for Carlo by 12/10.

IC-hosted Printing-palooza meeting

Use an IC meeting for a UC-led printing meeting. Alma campuses will present. Open it to FGs and local staff. Record the meeting.

  • Create Zoom meeting (Done! use existing IC meeting)

  • Identify facilitator: Jeremy, Ramon

  • Draft talking points: Greg

  • Invite speakers: managed by each Alma campus IC.

  • Send meeting invite with Zoom link; invite Ex Libris via Marci and cohort members: Tom

  • Announce meeting (slack, email, etc.): Tom

  • Add meeting to Confluence meeting page & meeting recordings: Tom

  • Create a spreadsheet survey to show the kind of printing that is being done at each existing Alma campus: Jeremy, Ramon. Must request access to the sheet.

  • Survey has gone out.

  • It focuses on Alma, but if there are other ways printing is being used, OK to include those. Suggestion: Do an environmental scan at your organization. It will be helpful for the presenters.

  • Ramon will take screenshots of the tricky parts of Spineomatic to share. Sarah also.

  • How much time for each speaker? 10-15 minutes would be good.

Misc. Followup

  • Integrations email to CIOs: From 11/19 meeting notes - The question also arose regarding how this email became a need in the first place. Nobody really had an answer. It seemed like all IC’s have had good communication with their respective IT groups.

Discussed at an earlier IC meeting but I’ll repeat it: The impetus for this email to CIOs was the phase 4 premortems where not communicating early enough with IT/CIOs was identified as a risk. Todd Grappone on the SILS WG offered to work with Adrian Petrisor (Com Leads) to draft a template email to mitigate this risk. Reason #2: CIOs have asked on several occasions to be kept informed about SILS. The template email was an easy way to make sure this happened consistently across all campuses. ULs were cc’ed so they were aware the communication happened.

  • We may need more one-on-one sessions with Ex Libris to answer questions rather than only relying on Basecamp. Not a substitute for Basecamp but rather a supplement.

  • Reminder about the UC-Alma group as we get closer to test load (great place to post questions!)

  • Q&A at this meeting as a first stop before asking a question on Basecamp. Or, if it’s time-sensitive, post to slack (IC channel, SILS Chairs are good options)

  • Sarah submitted a SF ticket about the slowness in her production instance of Alma. It’s at Tier 2. Sarah will share the case number. It affects the number of records they can submit to the NZ. Irvine and Riverside are also affected. NA04 server. Took 4 days to run the jobs at Riverside.

Add a Q&A to the recurring agenda for ICs
