Updates - from All-Chairs, Leadership Group, etc.

Provide updates from other SILS meetings

5 mins

Jackie / Caitlin

  • Follow-Up from post All-Chairs kick-off:

    • Made up of just the chairs from OT and Operations subteams; Tom is the chair of all-chairs and they’re working on electing a co-chair

      • Vice chairs have access to Slack Channel and Listserv

    • Suggested to meet monthly, might want to meet more often

    • Next meeting is on March 1; will work on the team charter

    • Not a decision making group; instead a consulting group and information sharing group

      • Any recommendations will come up through the Operations Team

Q & A Session - Including Questions on Slack since last meeting

Any questions from the team?

Questions from Slack?

24 mins

Team / Caitlin

  • ExL superuser accounts. How should these be allocated? - Caitlin

    • See this write-up: https://docs.google.com/document/d/1FOmLy3CBIVBH_7njiHSDWaOIPMSkRn769E8WXxAalHs/edit#heading=h.eo31xysj2y5m

    • Deadline is self-imposed, but the sooner we decide, the sooner we get the superuser accounts

    • Need superuser accounts so that we can view tickets UC-wide

    • How should superuser accounts be distributed?

      • Seems like one superuser account per campus makes sense

      • Do the campuses each need their own superuser account to post tickets or just see tickets; seems like campuses should have the ability to view tickets but tickets are posted by the SILS subteams

      • Can we have superuser read-only accounts, and then people use their individual accounts?

      • Could have 1 account for read-only; and another 1-2 accounts for submitting tickets

      • There is a business need for the groups to have their own account, but there is also a business need for the campuses to have their own account

    • How would folx use superuser accounts?

      • Mostly for seeing what issues other campuses have open, and speaking to those issues if your campus is experiencing them as well; also cooperatively submitting tickets

      • UCR has a shared group (lib-sils@ucr.edu) that is the "super-user" and those in that group are the members of their local subteam; only Ramon will place tickets for issues though

  • Recommendation to include SILS Ops Center staff in the cohort tools: Slack, Confluence, Google Drive, Listservs, etc. - Caitlin

    • OT votes to include SILS Ops Center staff in the cohort tools: Slack, Confluence, Google Drive, Listservs, etc.

    • Also going to have a SILS Ops Center slack channel where OT can contact SILS Ops Center directly

@Caitlin Nelson will send an email to all-chairs about the superuser accounts and ask folx to be ready to discuss this topic at the March 1 meeting; Caitlin will report back discussion from the all-chairs group to the OT and then OT will discuss this topic at the March 9 meeting
@Caitlin Nelson will make sure that SILS Ops Center staff have appropriate permissions in the cohort tools: Slack, Confluence, Google Drive, Listservs, etc.

Update from Leadership Group re: Work Handoff Proposal

Update on where we are with the Work Handoff Proposal

11 mins

Jackie

  • See email Tom sent on Friday, Feb. 18 with subject line: Phase 4 Work Handoff task assignments for SILS Operations SubTeams...

  • OT is not prioritizing tasks for the subteams

  • OT will be managing communication pieces between subteams

    • OT should help facilitate communication with CDL as well; and other groups where there is no clear path of communication or escalation, such as the SCP Advisory group and the Resource Management Operations subteam

      • However some of these groups are not decision-making bodies, such as the SCP Advisory group, but communication between teams still needs to be clear

4

UC Irvine - Configure Local Resource Type in Sandbox

Continue discussion from previous meeting, regarding forming a taskforce to work on putting a process in place to deal with the resource type issue

8 mins

Team

  • 20 local resource types can be configured, this is the maximum

    • This is a harmonization issue, because there are only 20 spots

  • If we define a resource type in the NZ, then all other campuses can apply that same resource type to the items that fit that descriptions

  • Decision: create a taskforce made up of OT members to begin working on this process

    • OT members include Lakshmi, Sarah, and Ramon

@Lakshmi Arunachalam, @Sarah Lindsey, and @Ramon Barcia will form a taskforce to work on putting a process in place to deal with the local resource type issue

Topics or questions for the Ex Libris Support Meeting

Any topics or questions that should be addressed at the next monthly Ex Libris Support Meeting (March 21)?

5 mins

Team

  • From Lakshmi: Issue with physical holdings not displaying in Primo VE; what is the status of where we are on this?

    • Caitlin recommends that Lakshmi check with Gem on this via Slack

    • If this needs to be escalated before March 21, that’s possible; otherwise can discuss it at the next meeting on March 21

  • If anything else comes up, we’re meeting again before the next Ex Libris Support Meeting, so feel free to send anything via Slack or bring it up at the next meeting

Any other discussion items?
