Weekly Testing

The Fulfillment FG and ILL Ops should conduct tests with the following scripts in the order outlined below. The AFN will be configured first, then IVEA, and finally NCIP. The groups will aim to test 2-3 during their weekly meeting. Additional tests will be added as needed.

  • We might need a special training on digitization workflows and better documentation.

  • Individuals with questions about Resource Sharing training might contact the ICs. It appears that this training package would be an additional cost. (Maybe this could be an office hour session.)

  • There are two types of digitization workflow. One for those with a digitization department and one without.

  • Individuals from branch libraries should be invited to this meeting as well.

 

 

Elizabeth will send out something for the group to populate when requesting a special session from ExL.

  • Digitization Article AFN Request

Logged in as a graduate student.

Looked up a journal.

Request through ILL. Some information is pre-populated.

Clicked on the Description drop-down menu. There is no null option. (This has created issues before.)

Submitted the request.

The request shows in the “My Account” page under the HOLDS tab.

The request shows in Alma on the “Resource Sharing Borrowing Requests” page.

The Barcode populated in the request. A Rota was created. Worldshare doesn’t appear in the Rota though.

In UCLA’s Alma > Pick Up Requested Resources.

Once facets were changed the request shows up.

Page numbers and article title did not transfer with the request.

Went to “Scan In Items”

Scanned in item barcode.

Changed location to the digitization department.

Clicked “Manage In Process Items”

Clicked “Next Step”, now an attachment option appears in the three-dot menu.

Click the Done button.

Back in the UCSC Alma:

Not much information. Shows that it’s been completed and that there were no shipping costs.

Parking Lot

 

 

 

There are some concerns that there is no clear place to note physical condition of items in the AFN. It may be possible when scanning in items.

Another option may be using fulfillment notes.

For the time being best practices might be shared via e-mail, sent to the FG and ILL Ops. Testing documentation could be hosted on Google or Box and shared out with a public link.

 

Members can add to the parking lot issues that they feel need to be considered or tracked.

RLF Non-Circ items requestable for in-house use

Will need to test in Test Phase

 

 

There are some hacks used for library-use only items that can’t be checked out and back in because it will kick off a return process. This will have to be figured out for ExL.

Davis tried creating a “Reading Room” circulation room. This was difficult for circulation staff to manage. There is now a transit step between ILL and the circ desks that allows the item to be checked out again before initiating the return process.

This issue does not just apply for LUO items, but specifically to the RLFs.

 

Mark will reach out to Lynne Grigsby regarding this question, and based on this discussion, Joe F. and Elizabeth will start a discussion in Basecamp with Ex Libris if needed.
