Quarterly update for CDL NZ group

Starting to build out info needed in analytics and where to put it in POLs - essentially migrating data from old CDL system and crosswalking to Alma field options. Clarifies dropdown menu needs, configurations for field visibility, etc. Looking to try and get the “fake” ledger in for testing Analytics over next couple weeks.

Acquisitions-based issue/request for our campuses for some e-resources that are moving to OA consortially

E-resource titles for the OA initiatives: payment information and which campus supports the titles (title check) - what is the CDL workflow and communications at the renewal time.

”Title transfers - It’s always been very complicated. When Adriana left, Lisa Mackinder scrambled to try to figure out how this was managed and all of the complex parts involved and a quick process was handled this past year with it. We’re still hiring for the position that will replace Adriana (it’s actually underway now) and I’m sure when this person is in place & up to speed, we’ll begin to review the entire process anyway internally to try to smooth it out, and review who will do what, etc.  We’ve definitely talked about the need to make this smoother. 

As for the title/holdings checks CDL sends out, I know there is some limited capability to see orders that the campuses have in Alma, I haven’t played with it all that much myself. I’m not sure how easy it would be to pull the type of information needed by CDL through searching in Alma or using Analytics to find campus data for prices paid, term dates, cancellations, formats, vendors, etc.  It’s worth testing once CDL staff are in a position to turn our focus to reviewing our whole transfer process.

 For now, if there are any Acquisitions questions about specific titles being picked up, payments, etc they can go to cdlacq@ucop.edu as usual, to create an Acq ticket for us. Questions about title transfers will likely be forward to Lisa Moske to respond to, who is helping with renewals & orders while Lisa Mackinder is out, and while our Acq Coordinator is not yet onboarded, etc. “

New packages will typically go through SCLG, then overlap analysis would be a project issued from there. There is an acq email list that needs to be reviewed.

• Lisa S. Alma does not handle negative allocations (that was one of the ways we managed the recharge/deposit w/ transactions by title to draw that down).

• Lisa M. CDL has met with ExL to outline processes / use cases to take ExL development. Current functionality doesn’t fully support current workflows

• Google Drive space for recording where/how recharges are recorded

• SCLG supplying fiscal close deadlines.

• CDL NZ Shared Collections reviewing current workflows, will start with performing needs assessment
