“Digital” vs “Electronic” records in Alma

DCFG members are up to date with an important distinction Ex Libris makes about these record types.

No difference in the system as to how digital and electronic records are managed in IZ, which presents issues about how to distinguish between UC-owned digital collections and electronic subscriptions (if campuses are planning to manage digital records in the ILS/Alma)

Reviewed by SILS Working Group → pause on diving into full discussion until end of August

Relates to our Decision Tree (Q about whether to bring records into Alma y/n) - we need the contextual info from the SILS Working Group discussion

PPC also brought in on this and confirmed that ExL did not discuss impact of managing digital vs electronic records at any point

Road map for rest of 2021 / What’s next for DCFG

DCFG (Phase 4) continues through the end of 2021

Ideas for future work:

  • Working with Discovery to look at collections we’ve harvested

  • Outlining process for how campuses request to harvest collections into Primo as ongoing/sustainable workflow

    • Could identify all the collections and then start with 1 per campus

    • This would be on a campus-by-campus basis

  • Write up of DCFG’s recommendations and decisions (final report)

Some campuses have not anticipated pushing anything from Calisphere (UCB)

Suggest having an opt-out process: default is that all of a campus’s Calisphere collections would be harvested, unless campuses indicate collections which should NOT be harvested

Members should feel free to share Decision Tree and companion doc with their campus groups (with caveat that it is still a draft document)

 

By 8/16: all members to confirm or select collection to use as first/test record to harvest (purpose is to evaluate accuracy of migration and check how records display):

Kate had posted to Slack: Can we revisit a previous discussion about the COLLECTIONS feature in Alma/Primo VE?

So far Kate has found that everything has to be in Alma first, in order to create the collections.

UCI has one collection of this type.
