Training: Followup on supporting staff as they train on/transition to new workflows in Alma/Primo.

  • IT to briefly summarize what training is provided at the systemwide level for CoUL.

  • Provide a list of the IT reps and their email addresses.

  • Check with IT reps to see if they have concerns about their local training plan.

  • IT to briefly summarize what training is provided at the systemwide level for CoUL.

    • Due to the COVID-19 pandemic, Ex Libris workshops were converted from in-person to live remote workshops. The change to remote workshops eliminated the need for train-the-trainer sessions as all local staff could directly attend their campus trainings, if approved by their managers.

    • Held a series of Ex Libris-led Alma and Primo VE live remote trainings, beginning with Vanguard campuses in July 2020 and continuing with the Spring workshops in March 2021.

    • More details in the Training Documentation Hub

  • Provide a list of the IT reps and their email addresses.

  • Check with IT reps to see if they have concerns about their local training plan.

    • Not at this time.

    • Looking ahead, IT’s local training subgroup is planning Open Houses to begin in late-April/early-May.

    • Open Houses are an opportunity to create a learning community and share workflows from already on Alma/Primo campuses. Topic areas will include fulfillment, tech services, special collections, and other cross-departmental areas.

  • More updates to come on 4/13 before SILS-SC meeting

Ongoing PM needs for after April 30th

  • Email/slack SILS PMs directly

    • Reach out to meet, as needed

  • How should EUOS stay in the loop for Primo VE decisions or decisions that will effect end users? 

    1. Idea: recurring agenda item for PPC: is there something coming up that will effect end users and should be shared with EUOS? Flag in PPC and hand off to EUOS.

      1. Q for EUOS: can you provide bullet points/criteria on how to identify if a new feature would effect end users and should be communicated?

      2. A: Hard to answer this question b/c we don’t even know what decisions are really being considered, but in general, if an end user (patron) would use it, then it is of concern. For example, these are some questions we anticipate, or have already received:

        1. Anything related to searching, filtering, ranking results

        2. Anything related to “what happens to finding/borrowing materials outside of the UCs” - we see this question coming in from patrons already

        3. Anything related to getting to full text of things (articles, books, etc.)

        4. Anything related to borrowing/fulfillment/access to collections (locally or among UCs or outside of UCs)

          1. Including ability to pick up materials at other campuses - we think this has been answered for UC materials, still waiting about Worldcat materials

          2. Including ability to use your campus library card and go to any other campus and just borrow things (without first requesting) - we think this has been answered

          3. Including use of third party tools like Aeon for Special Collections

        5. Anything related to tools that some campuses have (e.g. Browzine) that they will miss if they don’t see it anymore

        6. Anything related to saved searches from existing Primo or other catalog accounts

        7. Anything related to finding OA materials

        8. Etc….

    2. Idea: Add time to the SILS Chairs agenda for EUOS to talk about their work and solicit content. Recurring or one time/as needed.

      1. Q for EUOS: would this be helpful?

      2. A: Not as helpful as suggestion #1 above. We attend SILS chairs and follow up with folks if they mention things that seem to be relevant to EUOS anyway.
