Training: Followup on supporting staff as they train on/transition to new workflows in Alma/Primo.

Share with Joanna for IT.

Provide CoUL with this information:

  • IT to briefly summarize what training is provided at the systemwide level for CoUL.

  • Provide a list of the IT reps and their email addresses.

  • Check with IT reps to see if they have concerns about their local training plan.

@Joanna Kang (Unlicensed) will take this to the next IT meeting.

Primo VE recording logistics

  • IT would like a single link, have back-up/multiple co-hosts at a single campus. Due to schedules, no one in IT can attend every training. (Primo VE schedule)

  • Do you have any suggestions on how to best do this? Would Com Leads be able to help?

    • EXL may need to manage many zoom links from different campuses

5

All

  • Possibly add to the master spreadsheet with recording links

    • Is someone who is going to all of the sessions, maybe they can record with a backup.

    • Who will send the invitation? Send to whole cohort? Needs specific messaging about who is expected to attend (self-select: you should only attend if…, how to submit questions).

Create one zoom link for all meetings; invite Marci. Lena is willing to create meetings and invite SILS-Cohort if needed.

@Lena Zentall (Unlicensed) to check with CDL staff about who’s going to the Primo VE sessions

EUOS question roundup

  1. Harmonize Primo VE help pages (UCI Primo help page example)

    1. Part of EUOS charge, but already on Primo campuses have not found them useful for patrons. Students, faculty, etc. will get help in the ways they know best -- directly contacting the library through the local library's options.

    2. Does EUOS get to decide what is meant by harmonize Primo VE help page

      1. Does there need to be a decision page? Yes, since it’s part of the charge, create a decision page to explain the reasoning for not harmonizing the pages and what the alternative plan is and recommendation. After draft decision page is made, consult with Discovery to see if any considerations were missed/want to add anything. Opportunity to weigh in or ask questions.

  2. Trying to anticipate after go-live needs for end-user communications. Is there anything new to announce after go-live that needs to be harmonized or would benefit local teams (to avoid re-creating an announcement 10 times?)

    1. EUOS doesn't feel like they know enough about Primo VE decisions to plan for after go-live right now. How should EUOS stay in the loop for Primo VE decisions?

      1. Idea: recurring agenda item for PPC: is there something coming up that will effect end users and should be shared with EUOS? EUOS: provide bullet points/criteria on how to identify if a new feature would effect end users. Flag in PPC and hand off to EUOS.

      2. Idea: Add time to the SILS Chairs agenda for EUOS to talk about their work and solicit content.

    2. Separately, EUOS has already been planning for local teams to be in charge of their specific instructional needs.

  3. Q: If there is saved stuff in Melvyl right now, is it going to be deleted? With (the newly announced) Zombie Melvyl, will it still be deleted? (Context: faculty are really attached to their saved Melyvl searches, do we still need to coach them saving them to recreate in Primo VE?) A: saved searches may be available in Basic Worldcat to all campuses except Merced. Not in Primo VE. All user accounts, except for UC Merced users, will still be available on BWCD.

    1. I saw this was moved to the 4/1 meeting, thank you! Including related questions here:

    2. If no answer now, is there a timeline for arriving to an answer? EUOS would like to inform end-users of UC Library Search features

    3. Would this Melvyl answer be part of the decision page for (Go Live) What to do with Basic WorldCat Discovery? Doesn’t look like it’s in there.

    4. What would be the best way for EUOS to stay up-to-date?

    5. Lookout for a message from Gem and Alison about alert notifications/message on the products themselves: UC-eLinks, Melvyl, Resource sharing (Request specifically).

  4. SILS Governance after phase 4

    1. Who will maintain the UC Library Search site content?  Unknown, does EUOS have recommendations on what content should persist? What content should stay centralized and what should go to a local campus site. Also retention period, ex. this should live for 6 months and then can be removed.

    2. Does SILS governance task force have a timeline on when they’re sharing their timeline? [I think this is about who will be in charge of maintenance and support.]

      1. SILS governance task force will come on April 7th to SILS Chairs meeting to talk about transition/governance structure

@Lena Zentall (Unlicensed) will check notes on availability of BWCD user accounts.
