RS Retrospective: Fulfillment Network discussion

review & discuss document

any future projects / ideas for RS OST to put on work plan or parking lot?

  • How is decision to turn off direct fulfillment working?

Questions: Can it be configured based on item type?

Can staff have option to use direct fulfillment on behalf of the patron? we think so

Would this allow borrowing library to place holds for item that expired but patron still needs?

Should this be a project (How to incorporate direct fulfillment)? Yes

  • Decision to configure UC Libraries as a Fulfillment Network is working well, may be a possibility to setup a peer to peer for copies (hybrid model)

This would be a great idea to investigate because copy request are a big issue right now (copy request only fo to AFN if there are print holdings)

Project to make a clear recommendation as to what option would be most helpful to help us do certain tasks better

  • Configure an Automated Fulfillment Network

Working really well for monograph requests, definitely better to investigate a hybrid model

You can add p2p partners before going out to VDX

Do we need to test both models? Yes

Next step is for steering committee to decide what project the group will work on

@Alison Ray (CDL) + RS OST SC put ‘which hybrid model should RS OST investigate - direct FN and/or P2P’ into work plan Jun 6, 2022

  • Will meet every other Thursday as needed beginning June 9, 2022 from 11 am to 12 pm.

  • Not all campuses are represented in this sub-group. Discussions or decisions made here will be vetted through the necessary OSTs.

  • The group assembled is in agreement that users across the system should be held to the same standard.

  • Testing Scenarios can be found in 5-23-2022 Agenda and meeting notes. https://docs.google.com/document/d/1jE5Q4Tkd3WF7teeDe-ddzqZN2fGy_PU_ncuVs7EqlnU/edit

  • Documentation and testing videos can be found in SILS Cohort Fulfillment and Resource Sharing Shared Google Drive: In the Google Drive: SILS Cohort > Fulfillment & Resource Sharing > Workspace - Joint Subcommittee Work > Consortial Block Subgroup

  • It’s possible to configure pick slips to display additional information, including whether or not a patron has a block or has exceeded the cash limit. Examples were generated using local digitization requests. Although this information may be useful for AFN Lenders to see, and the UC Lender will know not to fill request for that blocked patron, it is not the ultimate solution as all Lending UCs will simply say NO to request and the request will end up going out To VDX and filled by a Non-UC, so blocked patron still gets away with getting an ILL when maybe they should not.

  • Not all consortial Blocks are configured consistently among all UCs. All UCs seem to have the 01 02 03 blocks but some UCs have 04 and/or also 05. We need to test to see what these different blocks mean, how they behave, and if combinations of the 04 and 05 blocks among UCs for example, produce desired blocking behavior or not.

  • Future discussion might include how decisions or discussions are communicated beyond RS and FF OST membership. Ernesto will bring this up at the next All Chairs meeting. Sahra, Mark, Lai, Joe A. and Alison can bring this up in Fulfillment; Linda Michelle, Patrick, Demitra, Sabrina, and Alison will continue to bring up communication decisions and discussions here.

Parking Lot

Capture important topics for future discussion

‘pu anywhere exceptions’: review shared messages, what would be next steps
metrics on how often ‘pu anywhere’ requests have to be changed to home campus (Jason) → may lead to: editing pu loc for this requests → may lead to: harmonizing bookbands

Why do some digitization requests go to the “Digitization Dept for Institution” queue? It means they can’t get filled in Alma and then get kicked out to VDX - see 4/6/22 meeting notes for more info. (Scott)
