Withdrawn holdings by FY

  • While UCI Law has a use case for withdrawn material counts, they feel it can also be satisfied through local, project-based reporting. For other campuses on the call, reporting of Withdrawn holdings by FY is not an annual stat that is used; depending on local practice, there is also some concern about the data quality for reporting withdrawn/deleted materials.

  • There is a systemwide policy requiring some data specific to withdrawn materials for Capitalization reporting: https://policy.ucop.edu/doc/3410253/AM-L316-11. Is this policy still active? Who is responsible for it? This seems similar to the data collected for Risk Management - but with a slightly different lens.

Decision: Withdrawn holdings by FY should remain in the prototype for FY22/23 UCL/UCOP annual statistics; however, we should note in the report that it’s a potential candidate to be removed in future cycles. The report should note that based on campus practice, the quality of the data varies for Withdrawn items reporting; further assessment is warranted (both around data quality and potential metadata/cataloging changes at the campus level; as well as use cases for reporting these data annually).

Danielle will ask the UCL contact in the OP Budget, Analysis and Planning Office about the Capitalization reporting for Withdrawn materials. (Is this policy current? If yes, who manages/collects it at OP?)
ALL will ask locally about the Capitalization reporting for Withdrawn materials. (How is this currently reported at the campus level? Do they use the Withdrawn data points from the UCL/UCOP annual statistics?)
Danielle will incorporate this discussion/decision, re: Withdrawn, in the report.
