Happy anniversary, AEFG!

3

Updates: specifically from PPC (and other SILS groups)

Shared understanding of PPC and other SILS group activities, including what is routing to/affecting our FG.

10

Lisa S. / others

PPC meeting April 2

  • Considerations for how CDL should function within new UC-wide operations/governance

CDI updates (see below)

Other groups?

SILS Chairs - April 7 - Shared Governance Task Force discussion

  • How much post-go live work for Phase 4 groups?

  • How to manage coordinated policy and operations questions?

  • Which areas does it make sense to shift from inclusive expertise groups to more limited policy group?

  • How do we handle communication?

  • Potential donut holes in governance: Analytics, Systems, IT

  • AEFG will still be representative of all campuses – but is that effective?

4

Upcoming Sessions

Review any upcoming sessions involving AEFG and planning/preparing.

10

All

Getting invoicing-related topics addressed, tax (VAT settings, adjustments, use tax). Making use of Office Hours Thursday, April 8 for part of it.

  • tax adjustments, use tax

  • spreadsheet loading

  • did not include EDI invoicing - what are those specific concerns?

Preparing for 4/22 Fiscal Close Session - note Marci sent call for questions ahead of time.

5

Migration Data Prep Check-In

Continuing discussion of items that need attention for final extract prep. Goal to get to conclusion to route final recommendations.

15

All

AEFG response re: 856 42 see RMFG Decision Page

Other data migration issues: 856 fields, noting the query re: 856 42 for finding aid use (this Decision Page to be pulled if folded into RMFG page). Alternatives for finding aids.

Alma sites share how they handle things like multi-volume monographs.

  • Serial standing order vs individual monos

  • Which settings to use so that they can be received?

Action: share how already-Alma sites mange things like MVMs.

6

Testing Planning (combined with previously separate MVP item)

Two outcome streams: 1) Determining work plan / assignments for next couple of weeks and possible delivery of Decision Page(s) to PPC for April 9* meeting, and 2) Assess in context of collaborative testing, PPC overview, timeline planning, etc. 4/7 emphasis on workflow-based preliminary proposals in starting to build Decision Page.

All

Campus E-Resource workflow documentation that’s been shared from already-Alma campuses is in the Google drive.

Also see CSU documentation.

Timeline for AEFG Testing Management

3/31 Update:

From 003 Vendor Records/Import Profiles

  • Some meeting notes on this.

  • Interim updates from RMFG.

  • Next joint session April 7th from 3-4.

  • Merge/normalization rules need to be created in the IZ rather than the NZ for IZ users to be able to control. Only NZ accounts can use NZ rules

  • BUT, if records are to be accepted by NZ, they need to use NZ-generated merge/normalization rules

  • We need to manage IZ/NZ policy for merge/norm rules so that they are the same

  • We need to figure out who in IZ needs to access certain functions of the NZ

From 001/002: E-Resources CZ/NZ/IZ linking/Campus Purchase Order Practice for Data Integration

Questions:

  • Migrating CDL POLs without bibs?

  • PO type = service?

  • Cost per use by campus for electronic collections managed by CDL?

  • Does that status of POL matter?

  • Does attaching inventory to a POL matter?

  • E-resources workflow for CDL-managed resources may need to begin with examining collections and metadata at the point of order

Circle back to Shared Vendors outcomes - from 12/9 meeting notes (https://uc-sils.atlassian.net/l/c/dFGWARAe )

Licensing discussion: Need to build out timeline, investigate what data can be exported, what we need to have in place.

Training placeholder: outbound linking (needs confirmation of SFX availability); EDI invoicing.

What additional conversations needed re: routing of UC-elinks equivalent troubleshooting?

Sharing our Alma workflow documentation for e-resources

From Lisa Spagnolo to Everyone: 12:23 PM
Emerging Slack item from ILS Data Clean-up group (just got sent now to Carla and me, so sharing it): Hi Lisa and Carla, TJ and I just wanted to reach out to see if AEFG has uncovered anything in their testing or is on the verge of making any kinds of decisions that may require some data cleanup either pre- or post-migration. I am especially wondering if the AEFG will be making any type of best practice around how campuses manage their local collections post-migration in terms of setting up electronic collections, linking to CZ records, etc
