Discussion items

DISCOVERY VISION: We strive to design and implement the best possible discovery and delivery experience for our end users using data-driven decision making. We envision a network zone experience that will allow users to discover library materials across UC collections without sacrificing relevant results. As such, the default search and results interface should prioritize the success of typical users while providing additional functionality for more advanced users.

@Jess Waggoner will work on this, this week.

Finalize Restrict Resource Sharing Restriction Rules by Location decision

All

Made some edits to clarify the questions that arose while consulting with stakeholders:

  • added language re: campuses should be thoughtful and careful of decision whether or not to use one of these options, and then in deciding which option to use.

  • limited the emphasis on Special Collections, which was confusing/muddling some issues to stakeholders

  • Added a background section that outlines the system limitations and the reason these two options.

  • Clarified the Reasoning section and throughout, the user experience rationale for making a decision around restricting resource sharing services in the discovery network.

Recommended label in the yellow, “No Services Available” box: This item may not be available for loan. Contact us for help.”

Need to run by CDL OPS team to make sure the process as described is correct/expected.

Need to sort out mystery of why yellow box is no longer showing up

Need to get campus contacts in place (can send to PPC without this piece in place, keep a placeholder there)

Recommended label in the yellow, “No Services Available” box: This item may not be available for loan. Contact us for help.”

ALL: help out with re-testing restriction of resource sharing as link/appearance of yellow “no services available” box.
ALL: gather campus contacts by 11/23/21.

FRBR & Dedup Discussion

Jess

Last step per ExLibris is to run “prevent FRBR and/or Dedup in discovery job” on a subset of materials. UCSC developed steps we all need to take to run this.

  • UCSC ran the job just on audio, not on scores, and that seems to have done the trick. Not clear why, so we’ll want to make sure this practice holds up system-wide.

Next experiment will be to test Law materials. May be able to run this based on location only. Law school campuses will take the lead. UCI has offered to help with this testing process. Other campuses with law schools encouraged to help as well. Non-law-school campuses may also want to participate, if ability to limit by call number range is now an option (it was NOT an option in the past).

Further down the road - when digital collections are included, there will definitely need to be FRBR/DeDup work applied to these as well.

All campuses run this job and check back in.

  • Recommendation is for everyone to run the job on just audio.

ALL: Pass along job steps to our IC team/developers and report back when this is done.

Discuss updates/problems/testing

Revisit Limit by Availability. Getting reports of problems with records that we have no services available, no recourse for users to pursue. LibGuides have been a common complaint.

  • Libguides that were cataloged in the Community Zone and therefore a part of the CDI by other alma/primo institutions, are showing up. One example of extraneous records that we do not want showing up in our users.

  • Some campuses suspect/wonder if part of this issue is driven by database cataloging and other cleanup underway - people are searching for databases that are not yet cataloged, and so no useful record is available, but these are prominently listed on LibGuides, so those are landing higher than expected in results.

  • Would revisiting boosting settings help?

  • At campuses where FRBR is off because of ongoing suppression rules testing, contributing to a messy overwhelming experience.

  • Ideal to do some User testing once FRBR suppression rules are operational, and perhaps a closer investigation of whether data cleanup is a significant issue, to better understand the user threshold for the experience of finding really extraneous content via the CDI in our discovery network, vs. useful, ILL-able content.

  • The recommendation to NOT limit by availability at go-live also included a caveat to check in around 6 months and revisit if need be - we’re almost at the 6 mo mark.

December ExLibris will offer Quick Links, which could be extra duplicative for those with Brow Zine configured. Only 6 providers offering this, but those six likely strong presence in BrowZine. Recommend running this in Sandbox first to see how these play together before turning on in Prod. Quicklinks Knowledge Article.

An errant, stray link “Register” shows up and then disappears. This issue should be reported as a ticket

All campuses should keep an eye out for December release notes and discuss locally whether to turn on Quicklinks. Campuses with BrowZine advised to pay particular attention to user experience created by duplicative quick PDF download links, etc.

Report errant “Register” link appearance to ExLibris. Decision of who will make this report is pending - will sort out over Slack.

@Josephine Tan (Unlicensed) will make sure issues of revisiting Limit by Availability and related too-prevalent superfluous records issue are on the pass off documentation for our successor group.
ALL: Keep an eye out for December release and discuss locally whether to test/turn on Quicklinks
@Jess Waggoner will report the “Register” issue to ExL.
